Job summary

Sur La Table seeks a Sample Coordinator in Seattle to build and own a centralized sample tracking system across Merchandising, Creative, and Integrated Brand Marketing. You will ensure the right products are in the right place at the right time, serving as the operational backbone for sample logistics.

In a lean team, you will own end-to-end responsibilities, move fast, and coordinate calendars, pre-production to live inventory, and cross-functional partners who rely on you for timely samples

Qualifications

• 1+ years of retail experience or experience in an office environment.
• Ability to manage details, prioritize tasks, and meet deadlines across priorities.
• Available to work onsite at Seattle HQ at least 4 days per week, with photoshoots and events.
• Excellent verbal and written communication across cross-functional teams.
• Proficient in Outlook, Excel, Word and PowerPoint; comfortable learning new software.
• Baseline AI usage for tracking, documentation and MS Office work.
• Able to lift equipment and merchandise samples up to 40 lbs and stand for hours.

Responsibilities

• Create and maintain a centralized sample tracking system with full ownership.
• Manage a shared calendar to avoid double-booking across teams.
• Track pre-production samples separately from live/post-production inventory.
• Receive, log, and organize merchandise samples daily across all areas.
• Maintain the sample shed, ensure correct identification and retrievability.
• Coordinate sample requests with distribution, ship samples with documentation.
• Prepare and stage samples for test kitchens, floor sets, and milestones.
• Coordinate pre-production samples for creator partnerships and shoots.
• Support intake, packing, and shipping workflows for image harvest sessions.
• Proactively communicate availability and timing to cross-functional partners.
• Manage sample transitions, giveaways, and return-to-vendor processes.
