We are looking for a Litify Administrator to own and continuously improve our Salesforce environment, which runs on Litify. You will be the person who understands how intake, matters, documents, automation, and reporting fit together — and who determines how the system should evolve as the business grows.
This is a builder's role, not a ticket-queue role. Most weeks, you will be designing and building Flows, creating reports that answer real business questions, auditing existing functionality, and improving the overall health of the Salesforce org.
We care just as much about how you build as what you build. A well-scoped Flow with clear entry criteria is better than five overlapping automations, and we're looking for someone who naturally approaches systems with that mindset.
Legal or law firm experience is a plus, but not required. If you are new to the legal industry, you should be curious about how a contingency-fee law firm operates — from how a lead becomes a signed client, to why a statute-of-limitations date can be one of the most critical fields in a matter, to what a case manager needs to see first thing on a Monday morning.
Key Responsibilities:
Build & Maintain Automation
- Design and build Salesforce Flows, including record-triggered, screen, scheduled, and autolaunched Flows.
- Develop automation with careful attention to entry criteria, bulk safety, fault paths, and order of execution.
- Audit, consolidate, and retire legacy automation, including Workflow Rules, Process Builder, and redundant Flows.
- Create and maintain validation rules, duplicate rules, and picklist governance to improve data quality at the point of entry.
- Continuously evaluate existing automation and identify opportunities to simplify and improve the org.
- Build and maintain reports and dashboards for intake, case management, finance, and firm leadership.
- Develop a strong understanding of the Litify data model, including Intake, Matter, Account, Contact, Litify Docs, and custom objects.
- Identify when a reporting request is actually a data-quality or data-model problem and address the underlying issue.
- Design report types, formula fields, and roll-ups so teams can answer recurring business questions without requiring custom development.
- Own recurring operational reporting, including pipeline, aging, conversion, referral activity, and SLA metrics.
Audit & Govern the Salesforce Org
- Conduct periodic audits of profiles, permission sets, sharing rules, field-level security, and login history.
- Translate audit findings into prioritized remediation plans and execute the necessary improvements.
- Maintain an accurate inventory of automation, integrations, and installed packages, including what each component does and who depends on it.
- Identify and track technical debt, communicate its impact, and make recommendations for when and how it should be addressed.
- Help maintain a scalable, secure, and well-governed Salesforce environment.
- Develop and test changes in Salesforce sandboxes using realistic, representative data.
- Follow thoughtful deployment practices, including testing, documentation, and rollback planning.
- Manage changes through Change Sets while helping the organization move toward source-tracked deployments using the Salesforce sf CLI.
- Manage Litify managed-package upgrades and Salesforce release readiness.
- Review Salesforce and Litify release notes and proactively identify potential impacts to the organization.
- Document new functionality and system changes clearly so another administrator can understand, maintain, and build upon your work.
What We're Looking For:
- Hands-on experience administering and building within Salesforce.
- Strong experience with Salesforce Flow and automation design.
- Ability to understand complex business processes and translate them into scalable Salesforce solutions.
- Strong knowledge of Salesforce reporting, dashboards, data quality, and security.
- Experience auditing existing Salesforce environments and identifying technical debt.
- Strong problem-solving skills and a systems-oriented mindset.
- Ability to work independently, prioritize competing requests, and make thoughtful technical decisions.
- Strong documentation and communication skills.
- Comfort working in an environment where you are expected to build, improve, and take ownership, rather than simply respond to tickets.
- Experience with Litify is strongly preferred.
- Law firm or legal-industry experience is a plus, but not required.
- Experience with Salesforce source control, deployment tools, or the sf CLI is a plus.
