Job summary

International Flavors and Fragrances is seeking a customer-centric project coordinator to bridge customers, account managers, and internal teams. You will help drive fragrance development projects, manage SAP-related tasks, and support pricing and documentation across functions.

The role emphasizes meticulous organization, strong communication, and the ability to coordinate across departments in a fast-paced environment on-site for four to five days a week.

Where You'll Make a Difference

• Act as a key communication link between customers, Sales Account Managers, and internal stakeholders
• Coordinate multiple fragrance development projects in collaboration with perfumers, laboratories, marketing, production, customer service, and scent design teams
• Receive and process customer sample requests, inquiries, and time-sensitive requests related to fragrance products and materials
• Manage project setup and administration, including project entries, submissions, reworks, pricing, adoptions, line extensions, and SAP (Systems, Applications, and Products) entries
• Maintain accurate project documentation, records, and customer portfolios across systems and shared folders
• Support customers with pricing, fragrance oils, samples, documentation, and followups
• Coordinate daily shipments, prepare labels and shipping documentation, and serve as the onsite contact for sample logistics
• Ensure customer portfolios comply with current industry regulations by coordinating safety documentation and toxicology requests with regulatory team

What Makes You the Right Fit

• 1-3 years of relevant professional experience, preferably within the fragrance or flavor industry
• Strong customer-focus and results driven. Ability to apply sound judgment, analysis, and sensitivity to customer needs
• Strong organizational skills with the ability to manage multiple priorities simultaneously
• Comfort working in a deadlinedriven environment where accuracy and attention to detail are critical
• Clear and professional communication skills, both written and verbal
• Proficiency in Microsoft Office tools, including Excel, Word, and PowerPoint
• Availability and commitment to work onsite 4-5 days per week
