JOB SUMMARY

Under the general direction of the Sales Operations Manager, the Sales Operations Specialist will be responsible for managing Sales Orders for assigned regions including but not limited to creating and reviewing Purchase Orders in a timely manner, reconciling, auditing, and fulfillment of Hardware/Software/Support/Virtual items. This position will work closely with outside vendors and internal teams to build relationships, improve operational efficiencies, and drive sales. Must be located in the Pacific or Mountain Time Zone.

SUMMARY OF ESSENTIAL JOB FUNCTIONS

  1. Lead the sales order cycle for assigned regions, engaging with regional teams to understand their business and recommend efficiencies.
  2. Provide guidance to internal teams on resolving variances.
  3. Contribute to and enforce purchasing SOPs and policies.
  4. Ensure correct execution of purchasing processes to minimize liability.
  5. Coordinate item setup, including classification of attributes (tax, practice area, type, etc.).
  6. Review orders for accuracy in classification, shipping details, pricing, etc.
  7. Process drop-ship, special orders, and inventory/warehouse orders through ERP platform.
  8. Coordinate with vendors to resolve questions or discrepancies.
  9. Work with inventory team to source backordered items.
  10. Create billing schedules for installment orders.
  11. Track product line items and follow up with vendors on unfulfilled items.
  12. Fulfill items based on vendor bills, shipping confirmations, delivery confirmations, license keys, and support contracts.
  13. Manage return authorizations and resolve discrepancies.
  14. Perform other duties as assigned.

REQUIRED SKILLS AND EXPERIENCE

  • High school diploma or equivalent (Bachelor’s degree preferred).
  • At least 3 years of experience in purchasing, sales operations, or logistics.
  • Knowledge of internal controls and process implementation.
  • Strong Microsoft Excel skills.
  • Experience with ERP systems; NetSuite preferred.
  • Excellent communication skills for interacting with vendors, employees, and clients.
  • Highly organized, detail-oriented, with effective time management and prioritization skills.
  • Proactive and consultative approach to customer and sales requests.
  • Ability to manage multiple priorities and meet deadlines in a dynamic environment.

Salary range: $60,000 - $62,000 USD. Actual salary depends on various factors including location, experience, and performance.
