Qualifications

  • 1–4+ years of experience in sales operations, order management, contracts administration, or related roles.
  • Experience in medical devices or regulated commercial environments preferred.
  • Strong organizational skills with the ability to manage multiple priorities and deadlines.

Responsibilities

  • Manage the end-to-end order process, including order entry, validation, and submission for fulfillment.

Microbot Medical is a cutting-edge medical device endovascular robotic surgery company, seeking an experienced, motivated, and enthusiastic Sales Operations Specialist to join our team.

We are on a mission to redefine endovascular procedures with the LIBERTY® Endovascular Robotic System, the world’s first single use, remotely operated endovascular robotic system, currently cleared by the FDA, that enables precise vascular navigation while reducing radiation exposure and physical strain.

The peripheral endovascular space is one of the largest markets with clear unmet needs, but still with minimal penetration of robotics. LIBERTY is designed to redefine the endovascular surgical robotics marketplace by overcoming many obstacles that hinder the adoption of other robotic systems by eliminating the large capital footprint and its expenses and creating a system that is easy to use with minimal set‑up time and has the potential to add value for all stakeholders.

About the Role

As a Sales Operations Specialist, you will serve as a critical link between Sales, Operations, Finance, and Legal to ensure smooth execution of the order lifecycle. This role is focused on facilitating deals from quote to cash, managing order fulfillment processes, and supporting contract and sales agreement workflows.

You’ll play a hands‑on role in ensuring deals are structured, processed, and executed efficiently while maintaining compliance with internal policies and customer requirements.

Essential Functions and Responsibilities
  • Manage the end‑to‑end order process, including order entry, validation, and submission to ensure accurate and timely fulfillment
  • Review sales orders for completeness, pricing accuracy, and compliance with approved terms and policies
  • Coordinate with Finance, Operations, and Logistics to ensure seamless order processing, invoicing, and delivery
  • Resolve order discrepancies, billing issues, and fulfillment delays with urgency and attention to detail
  • Monitor order status and proactively communicate updates to internal stakeholders and sales teams
  • Facilitate the review and processing of customer contracts, quotes, and sales agreements
  • Partner with Legal and Sales teams to route, track, and manage contract approvals and revisions
  • Ensure all deal terms (pricing, discounts, terms & conditions) align with company policies and approval frameworks
  • Support contract lifecycle management, including renewals, amendments, and documentation storage
  • Act as a central coordinator to move deals efficiently through internal approval workflows
  • Support sales teams with quote generation, deal structuring, and order submission processes
  • Maintain and enforce standardized workflows for quoting, contracting, and order processing
  • Serve as a point of contact for sales team inquiries related to orders, contracts, and operational processes
  • Assist in onboarding and training sales reps on tools, policies, and order/contract procedures
  • Identify process gaps and recommend improvements to enhance speed, accuracy, and customer experience
  • Perform other job‑related duties assigned from time to time, within your scope of practice.
Qualifications
  • Bachelor's degree required; Business, Operations, Finance, Supply Chain, or related field preferred
  • 1–4+ years of experience in sales operations, order management, contracts administration, customer operations, or related commercial support roles
  • Experience supporting a medical device, healthcare, or other regulated commercial environments preferred
  • Strong organizational skills with the ability to manage multiple priorities and deadlines simultaneously
  • Experience with HubSpot or similar CRM tools, and Priority or similar ERP tools
  • Excellent written and verbal communication skills
  • High attention to detail and problem‑solving ability
  • Ability to work cross‑functionally with internal stakeholders at multiple organizational levels
  • Advanced proficiency in Microsoft Excel and other Microsoft Office applications
  • Strong process orientation and operational mindset
  • Ability to handle sensitive commercial and contractual information confidentially
  • Experience supporting contract lifecycle management and legal review workflows
  • Ability to identify process improvement opportunities and drive operational efficiencies
  • Customer‑focused approach with strong interpersonal skills
  • Demonstrated ability to build rapport with clinical and administrative stakeholders
  • Familiarity with hospital procurement processes
  • Understanding of regulatory considerations for healthcare and medical devices
  • Willingness and ability to travel up to 15% for company/team meetings and/or field rides
  • Valid driver's license required
  • Competitive base salary plus variable compensation annually (annual base salary range of $60k–$72k, plus eligibility for 10% annual performance bonus)
