Sales Operations Coordinator | DGI

Summary

The Sales Operations Coordinator provides essential support to the Sales, Project Coordination, and Operations teams by ensuring the accuracy of sales documentation, maintaining efficient processes, and contributing to a seamless customer experience. This role is responsible for managing quote readiness, supporting CRM and project systems, assisting with customer onboarding, and coordinating cross‑functional communication to keep projects and opportunities moving smoothly. The ideal candidate is detail‑oriented, organized, proactive, and comfortable working in a fast‑paced, team‑focused environment.

Responsibilities
  • Review and process sales quotes to ensure they are complete, accurate, and ready for customer delivery and Operations handoff.
  • Support the management of deal registrations, order tracking, and other sales lifecycle activities.
  • Assist with customer onboarding tasks, purchase order follow‑ups, and general quote management.
  • Collaborate with the Sales team to streamline workflows, improve pricing accuracy, and enhance process efficiency.
  • Gather product pricing information and maintain organized, up‑to‑date sales documentation.
  • Create and maintain project records, ensuring proper setup, document syncing, and visibility across teams.
  • Provide administrative support for Sales, including scheduling and coordinating office tours, meetings, and daily operational needs.
  • Assist with credit holds, invoicing coordination, client communication, and internal financial updates.
  • Manage the inbound phone line and deliver prompt, professional customer support.
  • Support HubSpot CRM management, including updating opportunities, tracking leads, and maintaining clean and accurate data.
  • Participate in Sales team trainings, meetings, and events as needed.
  • Work closely with the Project Coordination team to ensure smooth communication, support cross‑department processes, and contribute to ongoing process improvements.
Qualifications
  • Required: Previous experience in sales operations, administrative support, customer service, or a related role.
  • Strong attention to detail and ability to ensure accuracy in documentation and data entry.
  • Excellent organizational and multitasking skills.
  • Strong written and verbal communication skills.
  • Ability to collaborate effectively across teams and maintain positive working relationships.
  • Proficiency with Microsoft Office Suite and general business software tools.
Preferred
  • Experience with CRM platforms (HubSpot preferred).
  • Familiarity with project management or ERP systems (e.g., Q360, SharePoint, Gaviti).
  • Background in sales coordination, operations support, or project coordination.
  • Ability to identify process gaps and contribute to workflow improvements.
