Job summary

Highgate Hotels L.P. is seeking a Sales & Marketing Specialist to support the daily operations of the Sales & Marketing Department. The role encompasses administrative, financial, sales support, and marketing functions to enable successful sales initiatives and promotional activities.

You will coordinate budgets, prepare reports, and assist with marketing campaigns, partnerships, and public relations efforts while maintaining strong communication with guests and hotel teams.

Qualifications

• Bachelor's degree preferred.
• 1–3 years of experience in hospitality, sales support, office administration, marketing, or related fields preferred.
• Experience with hotel sales systems such as Delphi, Salesforce, Opera, or similar platforms preferred.
• Proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint).
• Experience with Canva, Adobe Creative Suite, or other marketing/design platforms is a plus.

Responsibilities

• Manage payroll administration for the Sales & Marketing department.
• Process departmental invoices, expense reports, POs, contracts, and vendor payments.
• Reconcile sales commissions and maintain supporting documentation.
• Assist with budgeting, expense tracking, forecasting, and monthly reporting.
• Coordinate travel arrangements, registrations, and travel expense tracking.
• Maintain organized records, contracts, files, and department documentation.
• Prepare presentations, reports, proposals, and other materials for leadership.
• Coordinate calendars, meetings, and follow-up on action items.
• Manage incoming sales leads and track in Delphi, Salesforce, and other systems.
• Support with site visits, client visits, and trade shows.
