Responsibilities

  • Track contracts, POs, SOs, delivery requirements, payment milestones, service obligations, and open action items.
  • Maintain accurate records of contract status, requirements, ownership, approvals, and milestones.
  • Coordinate with China HQ and internal teams in English and Chinese.
  • Support handoff from sales to execution by confirming scope, requirements, owners, and timing.
  • Review requirements, timelines, documentation, pricing, payment terms, and warranties.
  • Identify risks due to incomplete docs, delays, pricing issues, or handoff gaps.
  • Maintain organized contract files, quotes, customer correspondence, and change requests.
  • Assist with invoicing, milestone tracking, payment follow-up, and delivery coordination.
  • Support warranty, service, parts, refurbishment, and post-sale coordination tied to commitments.
  • Prepare contract performance updates, issue logs, and leadership summaries.

Job description

American Jereh is seeking a Sales Management Specialist - Contract Performance to support the Market Development team with contract tracking, order execution, purchase order follow-up, sales order coordination, customer documentation, delivery timelines, and internal contract performance activity.

This role is based on-site at 15333 John F Kennedy Blvd, Houston, TX 77032. The position requires bilingual English and Chinese (Mandarin) communication because the role will coordinate regularly with China HQ, North America sales leadership, finance, logistics, service, procurement, engineering, operations, and other internal business teams.

The Sales Management Specialist - Contract Performance will help ensure customer commitments, purchase orders, sales orders, delivery requirements, payment milestones, invoicing items, change requests, and contract-related action items are properly tracked, documented, and communicated.

Key Responsibilities:

  • Track customer contracts, purchase orders, sales orders, delivery requirements, payment milestones, service obligations, and open contract action items.
  • Maintain accurate records of contract status, customer requirements, internal ownership, pending approvals, and milestone progress.
  • Coordinate in English and Chinese with China HQ, sales, finance, logistics, service, procurement, engineering, operations, and leadership.
  • Support contract handoff from sales award to execution by confirming scope, customer requirements, internal owners, and timing.
  • Review customer requirements, delivery timelines, documentation needs, pricing details, payment terms, warranty terms, and follow-up items.
  • Identify risks related to incomplete documentation, delivery delays, pricing inconsistencies, payment terms, customer expectations, or internal handoff gaps.
  • Maintain organized contract files, purchase orders, approvals, quote records, customer correspondence, and change request documentation.
  • Support invoicing, milestone tracking, payment follow-up, delivery coordination, and customer documentation.
  • Assist with warranty, service, parts, refurbishment, and post-sale support coordination when tied to customer commitments.
  • Prepare contract performance updates, issue logs, open item reports, and leadership summaries.

Required Qualifications:

  • 3 or more years of experience in contract support, contract administration, order management, purchase order tracking, sales order coordination, project coordination, or commercial operations.
  • Bilingual English and Chinese are required for communication with China HQ and internal business teams.
  • Experience working with customer contracts, purchase orders, sales orders, delivery timelines, invoicing milestones, or contract documentation.
  • Strong Microsoft Excel, Microsoft Outlook, and document tracking skills.
  • Strong attention to detail and ability to manage multiple contracts, deadlines, customer requirements, and internal follow-up items.
  • Ability to communicate clearly with sales, finance, operations, logistics, service, procurement, engineering, China HQ, and leadership.
  • Ability to work onsite at 15333 John F Kennedy Blvd, Houston, TX 77032.

Preferred Qualifications:

  • Experience in oilfield services, manufacturing, energy, industrial equipment, technical equipment sales, power generation, or aftermarket service.
  • Experience supporting contract performance, order execution, purchase orders, sales orders, warranty tracking, delivery coordination, or commercial documentation.
  • Associate degree in Business, Supply Chain, Operations, Contract Administration, or a related field preferred.
  • Experience with ERP systems, CRM systems, order management platforms, contract-tracking tools, or document-control systems.
  • Experience with commercial invoices, pro forma invoices, letters of credit, BOLs, PODs, COA documentation, or logistics handoff is a plus.
