Job summary

Stonebridge is seeking a Sales Coordinator in Austin, TX to provide essential administrative support to the Sales Department. You will manage room blocks, qualify leads, and coordinate with sellers to maximize sales and client satisfaction.

The role requires strong organization, excellent communication, and proficiency with Microsoft Office. Evening, weekend, and holiday availability may be required to meet business needs.

Qualifications

  • Experience in administrative or sales support is preferred.
  • Strong organizational skills and attention to detail for records.
  • Excellent written and verbal communication with clients and teammates.
  • Proficient with Microsoft Office applications (Word, Excel).
  • Ability to prioritize tasks, manage time, and work independently.
  • Basic understanding of sales principles and ability to assist with reports.

Responsibilities

  • Provide general administrative support including typing, phones, and correspondence.
  • Manage room block inventories and group masters, input lists, and reservation links.
  • Qualify incoming leads and distribute to sellers by market segment.
  • Assign leads in the sales system to the appropriate seller.
  • Audit the sales system for accuracy and space conflicts.
  • Move paperwork through the sales management office and maintain filings.
  • Respond to client requests, questions, and complaints promptly.
  • Attend meetings and take minutes, distributing them as needed.
  • Support other administrative staff during absences.
  • Collect dates, statistics, and reports and follow up on assignments.

Reports to: Director of Sales

Supervises: Property Sales Department

Pay Range: $19-21/Hour

Job Summary: The Sales Coordinator provides administrative support to the Sales Department, managing room block inventories, detailing incoming functions, and qualifying sales inquiries. This role ensures the smooth flow of communication and paperwork, supporting the department’s efforts to maximize sales and client satisfaction.

Essential Functions and Duties
  • Provide general administrative support, including typing, answering phones, and handling correspondence.
  • Manage room block inventories and group masters, input rooming lists, create reservation links, be the point of contact for reservation assistance for groups and business travel clients
  • Qualify incoming leads and distribute leads to each seller based on market segment
  • Assign leads in the sales system to the appropriate seller
  • Audit the sales system for accuracy, space conflicts, and space control on behalf of the department director.
  • Manage the flow of paperwork in and out of the sales management office.
  • Maintain an organized filing system for reports and records of all events.
  • Respond to client requests, complaints, and questions in a timely and courteous manner.
  • Receive, sort, and distribute mail for the sales department.
  • Handle faxing, photocopying, and other clerical tasks as needed.
  • Monitor and manage office supply inventory, placing orders as approved by the Sales Department.
  • Attend and take minutes during sales meetings, distributing them as necessary.
  • Assist other administrative office staff during absences.
  • Collect dates, statistics, and reports from staff and follow up on special assignments.
  • Assist with the completion of special projects and other tasks as assigned by the department head.
Required Experience, Education, and Skills
  • Previous administrative or sales support experience is preferred.
  • Strong organizational skills and attention to detail for managing records and documents.
  • Excellent communication skills, both written and verbal, for interacting with clients and team members.
  • Proficiency in Microsoft Office applications, including Word and Excel.
  • Ability to prioritize tasks, manage time effectively, and work independently.
  • Basic understanding of sales principles and the ability to assist with reports and audits.
  • Ability to maintain a positive attitude and professional demeanor in a fast-paced environment.
Work Environment
  • Primarily indoor office work, with frequent use of computers and office equipment.
  • Must be able to walk, stand, and lift up to 20 lbs. as needed.
  • Regular interaction with clients, team members, and vendors, requiring flexibility in communication and scheduling.
  • Must be available to work evenings, weekends, and holidays as required to meet business needs.
