Sales Coordinator

As the Sales Coordinator, you will play a key role in supporting the sales team and ensuring the seamless execution of our group bookings, meetings and promotional events.

Responsibilities:

  • Sales Support: Assist the sales team in creating proposals, contracts, group resumes, event orders and presentations for potential clients.
  • Client Liaison: Act as a valuable point of contact for clients, addressing inquiries and providing necessary information to facilitate bookings, site tours and meeting events.
  • Group & Meeting Coordination: Collaborate with various departments to coordinate and execute groups and meetings, ensuring client satisfaction.
  • Administrative Tasks: Handle administrative duties such as maintaining client databases, client files, processing contracts, group resumes, shipping, supply orders, billing and generating reports.
  • Communication: Communicate effectively with clients, team members, and other departments to ensure a smooth flow of information.
  • Market Research: Stay informed about industry trends, competitor activities, and market demands to contribute valuable insights for strategic decision-making.
  • Sales Reporting: Generate and analyze sales reports regularly to track performance metrics, identify areas for improvement, and assist in developing sales strategies. Run weekly, monthly, quarterly and annual sales reports as required by the Director of Sales and Marketing.
  • Customer Relationship Management (CRM): Utilize CRM systems (Delphi FDC) to manage client information, track interactions, and ensure accurate and up-to-date records.
  • Promotional Activities: Collaborate with the management team to coordinate and implement promotional activities, special packages, and campaigns to boost sales and attract new clients. Attend local networking events as needed to
  • Contract Negotiation: Assist in negotiating contracts and agreements with clients, ensuring terms are mutually beneficial and align with the hotel's policies.
  • Marketing/Advertising: Support in the logistical aspects of organizing marketing events, activations, and partnerships. Create and manage engaging content on hotel social media accounts. Keep all imagery and hotel content up to date across online sites and platforms.

Qualifications:

  • Experience: A minimum of 1-2 years of prior experience in a hotel setting, preferably in a marketing and/or sales coordination role. (Hilton, Marriott or IHG brands preferred)
  • Education: High school diploma or equivalent; additional college courses, degrees or relevant certifications are a plus.
  • Organizational Skills: Exceptional organizational abilities with a keen eye for detail.
  • Communication: Strong written, verbal and in-person communication skills.
  • Team Player: Ability to work collaboratively with a diverse team and thrive in a fast-paced environment.
  • Tech Proficiency: Highly proficient in MS Office suite (Outlook, Word, Excel, PowerPoint) and familiarity with sales and hotel management software. (Delphi FDC, OnQ R&I, PEP)
  • Exercises Sound Judgment: Ability to evaluate situations and utilize appropriate and creative resources to professionally solve problems.
