Job summary

DoubleTree by Hilton Downtown Omaha seeks a detail-oriented Sales & Catering Admin to provide comprehensive administrative support for Sales and Catering and to ensure smooth execution of all catering events. The role requires adherence to hotel policies, accurate filing, and timely communication to drive customer satisfaction across departments.

The position supports the group sales managers and catering team, with varied hours including weekends and holidays as business needs dictate.

Qualifications

• Two years of administrative experience.
• Fluent in English (spoken and written).
• Proficient with spreadsheets, word processing and email.
• Ability to meet deadlines and manage multiple priorities.
• Basic knowledge of business contracts.

Responsibilities

• Provide administrative support to Sales & Catering managers.
• Prepare and distribute mail; maintain files and trace system.
• Design and create marketing materials using Canva.
• Distribute group resumes/BEO and communications to ensure service.
• Answer calls and forward inquiries to the sales team.
• Maintain office supplies and sales collateral within budget.
• Prepare weekly sales reports for the sales team.
• Coordinate Banquet Event Orders (BEO) and meetings with departments.
• Verify contract, credit applications and billing procedures.
