Position Overview
Our client is seeking a disciplined, detail-oriented Sales Assistant to provide direct support to the CEO. This is a pivotal role within the firm, requiring a proactive individual who can manage daily operations with a strong sense of urgency and precision.
This position involves heavy email management and frequent client interaction via email; you will be the primary point of contact managing the CEO’s digital correspondence. You will act as the CEO’s right hand—navigating a high volume of messages, managing a complex calendar, and ensuring all internal and external communications are handled professionally.
Core Responsibilities
- Email & Communication Management: Monitor and organize the CEO’s inbox, responding to client inquiries and drafting professional correspondence. Leverage designated software platforms to streamline client outreach and email campaigns.
- Social Media Support: Assist the CEO in managing social media messaging and engagement. Collaborate with the Marketing team to generate and schedule social media posts that align with the company’s brand.
- Calendar & Meeting Management: Full ownership of the CEO’s schedule, including booking meetings and resolving scheduling conflicts.
- CRM & Contract Administration: Perform consistent CRM data entry to update and maintain accurate client records; request and follow up on contracts as needed.
- Cross-Departmental Coordination: Partner with Human Resources, Accounting, and Marketing teams to ensure smooth operations and clear communication between these departments and the CEO’s office.
- Internal Liaison: Communicate on behalf of the CEO to internal teams to ensure tasks and deadlines remain on track.
- Meeting Prep & Documentation: Draft agendas, take detailed notes during meetings, and ensure the CEO is prepared with necessary briefs and reports.
- General Office Support: Provide daily administrative assistance, coordinate in-office training logistics, and handle occasional local office errands.
Requirements & Skills
- Sense of Urgency: Ability to work efficiently in a fast-paced environment and prioritize time-sensitive tasks without constant supervision.
- Written & Verbal Communication: Strong ability to draft clear, professional emails and handle phone inquiries with a polished demeanor. This includes a flair for professional social media writing.
- Organizational Skills: Exceptional attention to detail and the ability to manage multiple moving parts, from CRM records to social media schedules.
- Technical Proficiency: Professional experience with Microsoft Outlook (Calendar and Email) and Microsoft Excel. Ability to learn and leverage social media management and email communication platforms.
- Minimal Travel: While the role is 100% in-office, a reliable vehicle is required for occasional local errands.
Qualifications
- Experience: Previous experience in calendar management and high-volume email management is preferred.
- Systems: Prior experience leveraging CRM for data entry and record maintenance is highly preferred. Experience with social media platforms for business is a plus.
- Location: Must be able to work 100% in-office at our East Charlotte location.
