Job summary

Eastern Metal Supply, Inc. is seeking a Sales Administrator in Houston to act as a key liaison between the Sales department and internal partners such as IT, Operations, Credit, and Accounting.

This entry-level role supports order flow, follow-up, and customer experiences while offering a clear path to an Inside Sales Representative position. You will work with Inside Sales, customers, and cross-functional teams to ensure service excellence across the region.

Responsibilities

  • Follow up on customer credits, RMAs, N Status orders, reships, and backorders.
  • Track CIMS activity to ensure materials are released on schedule.
  • Coordinate timely quotes with the quote desk for sales reps.
  • Assist onboarding by monitoring initial orders and ensuring smooth execution.
  • Monitor churn accounts and coordinate with FP&A for retention efforts.
  • Communicate delivery windows and priorities to ensure Optimiroute compliance.
  • Promote service-excellence and report gaps to Inside Sales Manager.
  • Address IT requests for the Sales dept. (WebHelm, Accuterm).
  • Notify same-day RMA pickups to customers and track resolutions.
  • Identify trends in reships/backorders and propose improvements.
  • Serve as contact for delivery changes or order updates.
  • Collaborate cross-functionally to respond to customer feedback.

Job description

Position Summary

The Sales Administrator serves as a key liaison between the Sales department and internal partners including IT, Operations, Credit, Procurement, FP&A, and Accounting. This role supports sales teams by coordinating clerical and administrative sales functions, ensuring smooth order flow, accurate follow-up and exceptional internal and external customer experiences. The Sales Administrator works closely with Inside Sales, customers, and cross-functional teams to support service excellence across the region. This is an entry-level sales support role with a defined development path toward an inside Sales Representative position.

Essential Duties/Responsibilities

The following duties are typically performed by those with this job title; however, they may perform other related duties, and not all duties listed are necessarily performed by each person with this job title:

  • Follow up on customer credits, RMA’s, "N" Status orders, reships, and backorders
  • Track CIMS activity to ensure materials are released according to agreed schedules
  • Works closely with the quote desk to ensure timely turnaround of quotes for sales representatives
  • Supports new customer onboarding by monitoring initial orders and ensuring smooth execution
  • Monitors churn accounts and partner with the FP&A team and sales representatives to support retention efforts
  • Monitor and update customer delivery windows and priorities to ensure Optimiroute compliance
  • Embody and promote a service-excellence mindset; monitor compliance with established service standards and report any identified gaps to the Inside Sales Manager
  • Follow up on IT requests for the Sales dept. (e.g. WebHelm, Accuterm)
  • Track and communicate same-day RMA pickup notifications to customers
  • Address sales-related system issues, including orders populating incorrectly in nightly order files
  • Tracking export orders, linked orders, and orders in M3 status due to readiness issues
  • Identify trends related to reships, backorders, or service issues and communicate opportunities for improvement
  • Act as the point of contact for customers requesting delivery changes or order updates
  • Collaborates cross-functionally to address customer concerns identified through surveys or feedback channels and ensure timely responses
  • Perform additional duties as assigned to support regional sales and customer experience goals

Work Environment/Physical Demands

Office, fabrication and manufacturing shops – moderate to loud noise level. This position regularly requires standing; walking; sitting; use hands; reaching with hands and arms; and talking and/or hearing. Occasional lifting and/or moving up to 25 pounds.
