Job summary

AAA Fire Protection, Inc. is seeking a Safety and Fleet Coordinator in Seattle to support company-wide safety initiatives and manage fleet operations. This role serves as a liaison between leadership, the safety committee, vendors, and field teams.

The ideal candidate is highly organized, proactive, and comfortable balancing administrative duties with field-facing support, including training, PPE, vehicle setup, telematics, and vendor compliance tasks.

Qualifications

• Experience in safety coordination, fleet management, or administrative operations.
• Strong organizational and recordkeeping skills with attention to detail.
• Effective communication with field staff, vendors, and leadership.
• Comfort with technology platforms, document management systems, and reporting tools.
• Ability to handle sensitive information professionally.
• Proactive, dependable, and able to manage multiple priorities.

Responsibilities

• Coordinate safety training, maintain training records, certifications.
• Support AGC Retro and other safety documentation.
• Liaise between Safety Committee and leadership; communicate initiatives and follow-ups.
• Monitor PPE requests and ensure proper safety equipment.
• Coordinate new vehicle setup, rentals, toll accounts, and vehicle assignments.
• Schedule and track routine vehicle maintenance; ensure standards.
• Manage telematics systems; monitor and report safety/usage concerns.
• Support insurance claims; coordinate documentation with escalation.
• Maintain approved subcontractor list; keep agreements and docs current.
• Assemble vendor packets and collect insurance certificates and safety docs.
• Coordinate with accounting to provide required documentation for customers.
• Coordinate contract execution and monitor completion.
• Assist leadership and project teams on safety, fleet, and compliance needs.
• Maintain logs and tracking documents for safety, fleet, and vendor compliance.
