Job summary

ColonialWebb Contractors is seeking a detail-oriented Safety Administrator to support the Safety Department across compliance coordination, claims administration, documentation management, training support, and cross-functional collaboration.

The role emphasizes organizing complex information, solving problems, and building relationships to identify issues before they become safety concerns. A strong focus on accuracy and confidentiality is essential.

Qualifications

  • 3-5 years of progressively responsible administrative experience
  • Experience supporting safety, workers’ compensation, or compliance is preferred
  • Experience with safety-related documentation and records management

Responsibilities

  • Coordinate safety programs, training, and documentation across the organization.
  • Support workers' compensation claims and incident investigations.
  • Assist OSHA recordkeeping, regulatory reporting, and follow-up on action items.
  • Maintain confidential safety, incident, training, and compliance records.
  • Coordinate with field teams, HR, and vendors to gather information and resolve issues.
  • Administer safety-related systems and learning management programs.

A day in the life

Coordinate safety programs, training, documentation, and compliance activities across the organization. Maintain safety, incident, workers' compensation, training, and compliance records with a high degree of accuracy and confidentiality. Support workers' compensation claims, incident investigations, OSHA recordkeeping, and regulatory reporting. Track open action items, deadlines, renewals, and corrective actions, ensuring follow-through and timely completion. Coordinate with field teams, managers, HR, insurance providers, medical providers, customers, and other partners to gather information and resolve issues. Review documentation for completeness and consistency, identifying missing information, potential compliance concerns, and other red flags before they become a problem. Administer safety-related systems, customer compliance portals, and learning management programs.

You should have
  • 3-5 years of progressively responsible administrative experience, preferably supporting safety, workers’ compensation, claims management, compliance, construction, human resources, or a related function.
  • High school diploma or equivalent required; associate degree or additional education in business administration, safety, human resources, risk management, or a related field preferred.
  • Experience administering or supporting a safety learning management system (LMS), including assigning training, maintaining employee records, monitoring completion, and generating compliance reports.
  • Strong organizational skills with exceptional attention to detail and follow-through.
  • Ability to coordinate and collaborate effectively with employees, managers, customers, vendors, and external partners.
  • Problem-solving mindset with the ability to connect information, recognize issues, and elevate concerns appropriately.
  • Strong communication, proofreading, and administrative skills.
  • Proficiency with Microsoft Office applications and business systems.
Preferred Qualifications
  • Experience supporting safety, compliance, or risk management programs in construction, manufacturing, utilities, field services, or a related industry.
  • Familiarity with OSHA recordkeeping, workers' compensation administration, contractor compliance, or safety management systems.
  • OSHA 10 or OSHA 30 certification is a plus.
