POSITION SUMMARY

Performs various administrative and clerical duties in support of school or district office activities.

PRIMARY DUTIES AND RESPONSIBILITIES
  • Greets visitors, receives and directs telephone calls and distributes messages to appropriate personnel.
  • Performs the usual office routines and practices associated with a busy yet productive and smoothly-run office.
  • Composes, types and transcribes reports, meeting minutes, bulletins, announcements, requisitions, and all other manner of official correspondence.
  • Maintains files and records, including official correspondence and personnel files as required.
  • Sorts, screens and prioritizes mail.
  • Schedules and coordinates appointments, meetings, conferences, etc.
  • Serves as an informational resource to staff and public regarding district policies, procedures and events.
  • Prepares work orders for maintenance repairs.
  • Places orders for office supplies, furniture, equipment, and instructional supplies, etc. as needed.
  • Trains co-workers and student aides in office policies and procedures and coordinates their activities.
  • Coordinates travel and transportation arrangements as assigned.
  • Takes and transcribes dictation of various types, including correspondence, minutes, reports, evaluations, notices and recommendations.

KNOWLEDGE SKILLS AND ABILITIES
  • Demonstrate general proficiency in computer programs such as Microsoft Excel, Word and Outlook.

  • Strong organizational and record keeping skills.
  • Ability to do basic mathematical computations.
  • Ability to apply common sense understanding to solve practical problems and deal with a variety of situations.

  • Ability to work cooperatively and courteously with staff, students, parents and community members.
  • Perform all duties in accordance with Federal and State laws, district procedures and Board policies.
  • Ability to handle confrontation and conflict without an emotional response.
  • Produce accurate work and complete assignments with minimal supervision.

WORK ENVIRONMENT

Indoor office environment. This position regularly works indoors. The noise level in the work environment is generally quiet to moderate and may become excessively noisy at times. Will have contact with staff and the public.
