Ann Arbor Public Schools is seeking an Office Professional at Scarlett Middle School to provide essential clerical support, greet visitors, and manage phone lines while helping with enrollments and maintaining confidential student records in line with district policies.

The role is a 1.0 FTE, on-site position requiring familiarity with Mac/PC, PowerSchool and Microsoft Office, with bilingual Spanish a plus. Strong teamwork and accuracy are valued in a busy school office environment.

Qualifications

  • High school diploma or equivalent with additional training.
  • Experience with Mac (Apple) and/or PC (Windows) computers.
  • Experience with Powerschool web-based program.
  • Experience with word processing, spreadsheets, and database software including Word, Excel, PowerPoint, Google Docs, Google Sheets, Google Slides.

Responsibilities

  • Meet and greet students daily.
  • Answer telephones, respond to routine questions, set appointments, route calls as needed.
  • Assist with mailings and enrollment processes.
  • Process enrollments and changes to student database.
  • Maintain records and regular reports.
  • Assist with meeting coordination.
  • Prepare newsletters and parent communications.
  • Assist with grant compliance tasks.
  • Receive visitors and new students; address questions and concerns.

Summary

Responsible for performing clerical support and other office duties in the school, maintaining confidentiality of academic, health, and special education information.

Education & Experience


  • High school diploma or equivalent plus additional training

  • Experience with Mac (Apple) and/or PC (Windows) computers

  • Experience with Powerschool web-based program

  • Experience with word processing, spreadsheets, and database software including, but not limited to Word, Excel, Powerpoint, Google Docs, Google Sheets, Google Slides


Ability to use and maintain office machines including but not limited to: scanners, copiers, printers, fax machines


Job Responsibilities


  • Meet and greet students daily

  • Answer telephones, respond to routine questions, set appointments, and route calls to appropriate persons

  • Assist with mailings

  • Process enrollments and changes to student database

  • Assume responsibility for records and regular reports, including maintenance of records and files

  • Assist with enrollment of students

  • Assist with meeting coordination

  • Compile monthly newsletter and other parent communication

  • Assist with special projects as needed

  • Assist with grant compliance tasks

  • Receive visitors, new parents, and students

  • Answer questions, resolve student conflicts and concerns

  • Prepare various reports

  • Maintain school and student records

  • Assist with count day preparation

  • Coordinate registration process

  • Back up other offices including counseling

  • Regular and reliable attendance

  • Other duties as assigned


This is a full time position requiring regular and reliable attendance on site to successfully perform the essential functions of this job.

  • Ability to speak effectively before groups of students, staff, and parents

  • Ability to speak Spanish/ bilingual preferred
