OVERALL OBJECTIVE OF JOB

The risk management coordinator provides assistance with risk management and regulation compliance processes for Franklin County Government. This position works collaboratively in all areas of risk management and regulation compliance but is a main support for the risk management and compliance policies/processes development function for Franklin County Government.

ESSENTIAL FUNCTIONS OF JOB
  • Assess the needs for risk management or compliance processes, policy, and procedures development to enhance the effectiveness of employee performance in workplace safety, security, and regulation compliance to achieve the goals and objectives of Franklin County.
  • Research curriculum, program or processes actively and remain up-to-date on developments and topics.
  • Seek and gather information from management, employees, other departments, and contractors regarding the effectiveness of risk management or compliance programs and processes constantly seeking to improve.
  • Create policy/procedural materials to be used in risk management or compliance training, programs, projects, and processes.
  • Produce and maintain the risk management and compliance programs, policies, processes, manuals, and documents for use by County employees, the public, and contractors ensuring program documents and processes are current, communicated, and available.
  • Schedule and conduct meetings with management to proactively identify topics to be addressed or areas in need of additional attention.
  • Developing internal marketing materials to be distributed within the County or to external contractors promoting the risk management or compliance programs, policies, and processes.
  • Assist in planning, creating and implementing each year's risk management or compliance training courses and materials for the County and related contractors. Produce training materials including certificates of attendance for risk management or compliance courses, where relevant.
  • Coordinates and monitors the contracts of outside vendors providing risk management or compliance related services to the County.
  • Coordinate and track all risk management or compliance training for County employees and contractors, to include new hire training requirements, supervisor orientation, annual training requirements, and specific topics, etc.
  • Plans and design materials, forms and surveys.
  • Assists Risk Manager with department projects and programs to include contracts, surveys, annual budget estimates and other fiscal and statistical reports.
  • Processes, composes and maintains confidential correspondence, reports and documents, establishes and maintains files, logs and statistics required within the department.
  • Composes letters, memorandums, and other correspondence as required.
  • Administer the tracking system to ensure all employees, contractors, vendors, and new staff are aware of what mandatory risk management or compliance training they are required to participate in and the frequency.
  • Coordinate and manage the County incident reporting, mass notification, and fraud prevention systems.
  • Create cost effective partnerships with external providers to provide specific risk management or compliance programs and services, as required.
  • Amend and revise risk management or compliance programs, policies, and processes as necessary, adapting to organizational changes.
  • Work closely with appropriate leaders to support the development of effective risk management or compliance programs, policies, and processes.
  • Provide assistance to the Risk Manager on risk management or compliance specific programs such as Everbridge, StopIT, and incident reporting systems, along with other department specific tasks.
OTHER DUTIES OF JOB
  • Attends meetings, in-services and training, as required.
  • Assists with other clerical support, as necessary.
  • Performs other job-related duties, as required.

Receives occasional instruction and supervision from the Risk Manager.

WORKING CONDITIONS
  • Works indoors in adequate work space with adequate temperatures, ventilation and lighting.
  • Moderate level of noise, stress and disruptions.

PHYSICAL/MENTAL CONDITIONS
  • Must possess ability to record, convey and present information, explain procedures and follow instructions.
  • Must be able to sit for long periods throughout the work day, with intermittent periods of standing, walking, bending, twisting and reaching as necessary to carry out job duties.
  • Dexterity requirements range from coordinated use of fingers/hands for computer use, to simple dexterity of feet/legs; torso, as necessary, to carry out essential job duties.
  • Sedentary work, with occasional lifting/carrying of objects with a maximum weight of twenty pounds.
  • Must demonstrate emotional stability.
  • Must be able to pay close attention to detail and concentrate on work with frequent interruptions.
QUALIFICATIONS
  • A. Education/Training: Associates Degree in Risk Management or related field plus some computer and clerical training. Bachelor’s degree in Risk Management or Business Management preferred.
  • B. Work Experience: Three (3) years working experience in Risk Management, insurance, safety, regulation of compliance or any combination of acceptable training or experience. Certified insurance counselor, certified insurance service representative or advanced safety certification preferred.
KNOWLEDGE, SKILLS AND ABILITIES
  • Must be able to speak and understand the English language in an understandable manner in order to carry out the essential functions of the job.
  • Must possess knowledge of principles and practices of risk management and regulation compliance.
  • Must possess effective oral and written communication skills, excellent interpersonal skills and computer literacy.
  • Must possess ability to function independently, have flexibility and the ability to work effectively with employees, co-workers, contractors and others.
  • Must possess ability to work and communicate effectively as a team player.
  • Must possess ability to maintain confidentiality in regard to employee, public, and protected health information and records.
  • Must possess the technical knowledge of operating personal computers and other office equipment with accuracy and reasonable speed.
  • Must possess some knowledge of personnel methods and procedures and operation of MUNIS system, etc.
  • Must possess a willingness to travel, as needed, to carry out essential job duties.
  • Must possess the ability to learn a variety of clerical tasks related to risk management or compliance functions and be able to perform them with accuracy, detail and within reasonable time period.
  • Must possess ability to interact effectively with elected officials, department heads, and other departments and outside agencies, with tact and good judgment.
  • Must possess ability to record and transfer information accurately, and to enter data correctly into computer system.
  • Must possess ability to maintain required data and follow established procedures and be able to prepare required documents and reports.
