Minimum Qualifications
  • Bachelor's degree; or equivalent combination of training andexperience. All degrees must be received from appropriatelyaccredited institutions.
  • Strong organizational and multitasking skills.
  • Demonstrated knowledge of or experience in administrativeand/or business operations functions. Proficient with GoogleSuite.

Essential Job Functions

Position Summary: The Program Assistant providesessential administrative, financial, and operational support to theResearch Institute for Environment, Energy, and Economics (RIEEE)and its affiliated centers. RIEEE works with faculty partnersacross campus to pursue and manage grant funding and relatedprogramming. Working under the direction of the Business OperationsManager, this role ensures the smooth execution of businessoperations, financial transactions, office management, and eventand workshop logistics. The Program Assistant also plays a key rolein streamlining administrative processes, generating data forreports, and overseeing student office support.

Key Responsibilities
Administrative and Business Operations Support

The Program Assistant plays a vital role in supporting the dailybusiness operations of RIEEE and its affiliated centers by assisting with:

  • Processing contracts, invoices, and deposits, ensuring timelypayments and financial compliance.
  • Managing PCard reconciliations, travel approvals andreimbursements, and various purchasing activities.
  • Supporting time and leave reporting and payroll processes forinstitute and center employees.
  • Organizing and generating data for reports to assist theBusiness Operations Manager with budget tracking and fundmanagement.
Program and Event Coordination

The Program Assistant supports the planning and execution ofworkshops, conferences, and events hosted by RIEEE, its affiliatedcenters, and faculty partners. Responsibilities include:

  • Assisting with event logistics, registration, and scheduling toensure smooth execution.
  • Coordinating internal reporting processes, including eventattendance and research impact metrics.
  • Supporting communications efforts by curating emaildistribution lists, drafting email communications and eventannouncements for dissemination, updating website content, andformatting and/or printing outreach materials.
  • Monitoring and supervising the Student Office Assistant,ensuring task completion and operational efficiency.
Office Management

The Program Assistant ensures efficient operation and organizationof RIEEE's office space by:

  • Procuring, organizing, and maintaining office supplies andequipment, ensuring availability for staff and faculty.
  • Coordinating the allocation and organization of office spaces,assisting with office moves, workspace assignments, and resourcedistribution.
  • Tracking and maintaining fixed assets, processing work orders,and ensuring office operations run efficiently.
  • Managing the scheduling and use of shared spaces, includingconference rooms, meeting areas, and common workspaces to optimizeaccessibility and efficiency.
Preferred Qualifications
  • Experience in academic, research, and/or grants managementenvironments.
  • Experience with Banner Finance, Yo-Mart, and other platformsused for business operations at Appalachian State
  • Experience supervising student employees.
  • Familiarity with budget reporting processes.

Work Schedule/Hours: Flexible, with regular schedule duringnormal business hours; occasional evening andweekend work andtravel required.
