Responsibilities

  • Lead, support and manage Retreats Coordinators, ensuring high-quality experiences.

  • Coordinate pre-arrival, during-event, and post-event activities for key groups.
  • Troubleshoot logistical challenges and coordinate group feedback and invoicing.
  • Work across all Camp Cho-Yeh camps and travel up to 25% as needed.

Summary:

Lead, support and manage team of Retreats Coordinators. Oversee and execute the communication, logistics, facilities, and staff involved in providing Camp Cho-Yeh key retreats groups with a high quality, seamless experience, in fulfillment of Camp Cho-Yeh’s mission.

Essential Job Functions:
Staff Supervision & Management
  • Retreats Coordinators
  • Manage training, staff care, scheduling, time off and overall supervision of Retreats Coordinators.
  • Manage weekend rotation calendar in collaboration with other Retreats Managers.
  • Oversee professional development and training of Retreats Coordinators.
  • Including, but not limited to, regular one on one check ins and yearly performance evaluations.
  • Provide insight into planning and execution of annual Retreats Team Retreat
  • Proactively seek out professional development opportunities such as books, conferences, events, etc. to help Retreat Coordinators continually grow
Event Staff/Compass Students/SFS Staff (casual/hourly employees)
  • Assist other Cho-Yeh Managers in training and supervising multitude of casual/hourly staff for guest retreats needs.
  • Assist in the overall program of staff development, discipleship, supervision, and care.
Event Coordination for Key Groups
Pre-Arrival
  • Work with leaders from our key groups (large-scale or longstanding groups) to gather all necessary information from group leaders.
  • Schedule available resources to meet group needs (staffing, A/V, recreation, etc.).
  • Communicate group needs to all related departments.
During Events
  • Provide leadership, communication, and development to Compass, Event Staff, SFS staff, Facilities team and Retreats Coordinators.
  • Troubleshoot logistical challenges and emergencies that arise.
  • Coordinate group evaluation process, collect guest/leader feedback and final invoicing.
  • Communicate changing needs to related departments.
  • Be face of Retreats Leadership to on-site staff, SFS and guests.
  • Actively participate in group servicing as needed.
Post Event
  • Write group thank you notes, send/deliver leader gifts, and nurture relationships with key group leaders.
  • Follow up with group leaders to debrief the experience for future events and to address any issues.
  • Coordinate rebooking process with Booking Team, with a goal of creating long term ministry partners.
Additional Areas of Focus
  • Work with the Retreats Team to continually evaluate and refine retreat hosting, servicing methodology, and training.
  • In Summers, train and manage Boxwoods & Carolina Creek Staff alongside the rest of Summer Retreats Leadership Team.
  • Consistent with our industry/ministry, Summers are extremely busy and work hours are higher and less structured vs non-Summer months.
  • This position works across all of Camp Cho-Yeh’s family of camps - Central (Trails/Timbers), Boxwoods, & Carolina Creek (Lakeview/Creekside/The Wild).
  • Other tasks as assigned or needed.

  • A strong track record of delivering results through high performance teams coupled with a willingness to commit to a ministry and salary commensurate with a nonprofit.
  • Experience working with all levels of staff, with demonstrated ability to establish trust and relationships with others.
  • Excellent project management and communications skills with the ability to work across all functions and levels of an organization.
  • Proven track record of success participating actively in progressive organizational change and development within a rapidly growing ministry.
  • Strategic thinker who thrives in a fast paced environment and knows how to make wise decisions on the fly; creative problem-solver.
  • Highly accountable and results-driven with the ability to set and use goals that guide action and objectively measure performance.
  • Strong passion for Camp Cho-Yeh’s mission coupled with the ability to identify/integrate into its culture.

  • Ability to work/reside in the Camp Cho-Yeh’s vicinity year round and occasionally travel for training or networking.
  • High proficiency in Google Sheets/Docs/Forms/etc.

SUPERVISORY RESPONSIBILITIES

Carries out limited supervisory responsibilities in accordance with the organization's policies and applicable laws. Responsibilities include training employees; planning, assigning, and directing work; appraising performance; rewarding and disciplining employees; addressing complaints and resolving problems.

EDUCATION and/or EXPERIENCE

Bachelor’s degree or equivalent from four-year college or technical school; and six months to one year related experience and/or training; or equivalent combination of education and experience.

LANGUAGE SKILLS

Ability to read and interpret documents such as safety rules, operating and maintenance instructions, and procedure manuals. Ability to write routine reports and correspondence. Ability to speak effectively before groups of customers or employees of the organization. Bilingual Spanish/English given preference.

MATHEMATICAL SKILLS

Ability to calculate figures and amounts such as discounts, interest, commissions, proportions, percentages, area, circumference, and volume. Ability to apply concepts of basic algebra and geometry.

REASONING ABILITY

Ability to apply common sense understanding to carry out instructions furnished in written, oral, or diagram form. Ability to deal with problems involving several concrete variables in standardized situations.

TIME MANAGEMENT ABILITY

**Ability to effectively manage their own time and have great attention to detail. Ability to show initiative and function as a self-starter.

PHYSICAL DEMANDS

WORK ENVIRONMENT
