Job summary

Big Bear Retreat Center (BBRC) seeks a Program Planner to support the development, booking, and coordination of mission-aligned programming across BBRC and La Casa de Maria (LCdM). The role handles outreach, presenter agreements, contracts, and registrations, working under the Head of Programming to ensure a compelling and financially sustainable programming portfolio across both properties.

Qualifications

• Bachelor’s degree or equivalent combination of education, training, and experience.
• Experience in program planning, event coordination, retreat programming, education, hospitality, or a related field.
• Knowledge or interest in spirituality, wellness, contemplative practice, personal growth, education, or transformational programming.
• Experience developing and maintaining relationships with presenters, teachers, facilitators, group organizers, clients, vendors, or other partners.
• Familiarity with budgets and financial information, preferably in nonprofit, retreat, educational, hospitality, or mission-driven organization.
• Strong digital and technological fluency, with confidence using productivity tools and platforms.

Responsibilities

• Develop and coordinate mission-aligned programming across BBRC and LCdM.
• Manage inquiry forms, presenter agreements, contracts and registrations.
• Coordinate program dates, presenter availability, and planning with internal teams.
• Prepare and maintain program descriptions, pricing, schedules, presenter details, enrollment, and contractual terms.
• Support presenter and contract negotiations under guidance from the Head of Programming.
• Track program status, deadlines, and actions from inquiry through delivery.
