Job summary

Canopy is seeking a Retail Account Coordinator to own wholesale item setup, asset delivery, and accurate product pages across mass and specialty retailers. You’ll maintain the calendars, trackers, and launch playbooks that keep projects on track and align with Marketing, Creative, and Operations.

You’ll build account knowledge, coordinate sales materials, and support new account pitches, turning timelines into actionable workstreams while using AI-native tools to streamline processes.

OVERVIEW

As Retail Account Coordinator, you keep Canopy's wholesale business running day to day, from item setup through launch and into the promotional calendar that follows. You will work with our retail partners on product page assets and copy, maintain the account records and trackers the rest of the team reads from, and build the decks and materials that help win new doors. The work spans mass and specialty retail, our CRM and reporting stack, and every internal team that touches a retail launch. This is a hands‑on role for someone who likes being the person who knows exactly where everything stands, and who wants to build the systems that keep it that way. You will report to the Director of Sales and partner closely with Marketing, Creative, and Operations.

WHY WE'RE HIRING

Canopy's wholesale business has grown past the point where retail coordination can live in the margins of other people's jobs. Item setup, asset delivery, product page accuracy, promotional calendars, and sample orders are currently spread across sales and marketing, which means a launch moves at the speed of whoever has room that week. Every retailer we add multiplies that. This role pulls all of it under one owner, with the trackers and playbooks to keep it from fragmenting again as the door count grows. If you like being the person who turns a launch calendar into something real, this is a good place to do it.

ROLE AND RESPONSIBILITIES
  • RETAILER ITEM SETUP AND PRODUCT PAGES: You own item setup for every wholesale account, delivering the assets and copy each retailer needs to build a product page correctly the first time. You will audit live pages for asset order, accuracy, and context, and push updates when something drifts. Retail product pages are often a shopper's only exposure to Canopy, so getting them right protects both conversion and how the brand reads on someone else's shelf.
  • RETAIL MARKETING CALENDAR: You run the retail marketing calendar, tracking promotional periods, launch deadlines, merchandising windows, and marketing activity across every account. You will keep the calendar current enough that other teams plan from it instead of asking. Retailer deadlines do not move, so this is the artifact that tells everyone what is already locked and what is still open.
  • NEW ACCOUNT PITCHES AND SETUP: You support the Director of Sales in pitching new strategic accounts by building pitch decks, joining meetings, and taking the lead on follow up. Once an account says yes, you coordinate the internal work to get them set up. This is where a coordinator turns into a partner, because the follow up after a pitch is usually what decides whether it closes.
  • ACCOUNT KNOWLEDGE AND RELATIONSHIPS: You will build real depth on each account's business and on the categories they compete in, so you can bring ideas rather than only answers. You will prepare and maintain agendas for all key retail accounts and provide responsive, professional support to buyers, partners, and internal stakeholders alike.
  • SALES OPERATIONS: You keep daily sales operations moving by coordinating administrative and sales support work, placing marketing sample orders, and preparing sales materials, documents, and presentations from established templates. You will also handle scheduling, meeting prep, and follow up so initiatives keep their momentum between calls.
  • SYSTEMS AND REPORTING: You maintain organized account notes and records in our CRM and databases, and you keep reports, trackers, and standard dashboards accurate and current. Canopy runs a modern, AI-native stack, and we expect you to use AI to take manual work out of this role rather than absorbing it. If a report takes two hours every week, we would rather you spend a day making it take ten minutes.
  • PROCESS AND PLAYBOOKS: You will turn the way you work into documented playbooks, from item setup checklists to launch timelines to account agendas. Acting as a resource to the rest of the team is part of the job, not a side effect of it. The goal is a retail operation that scales past any one person's memory.
WHAT WE'RE LOOKING FOR
  • 2+ years of experience as an Account Coordinator, Sales Coordinator, or in a similar support role, ideally with wholesale or retail accounts. Time spent with mass or specialty retailers such as Target, Ulta, Sephora, or Nordstrom is a strong plus.
  • You pick up new systems quickly. Handed an unfamiliar retailer portal or internal tool, you figure out how it works and start using it well without waiting for training.
  • Real proficiency in Google Sheets or Excel. You are comfortable building and maintaining trackers that other people depend on.
  • Exceptional attention to detail and organization. You notice when an asset order is wrong on a product page, and you keep records clean because you understand what breaks downstream when they are not.
  • Strong written and verbal communication, with the judgment to know when something needs a quick note and when it needs a call. You work well across teams and with external partners.
  • Comfort with modern, AI-native platforms rather than only legacy enterprise systems, and genuine interest in using AI to stitch workflows together and remove repetitive work.
  • A proactive, ownership mindset. You surface gaps early, chase down the answer yourself, and build systems that scale rather than working around the same problem twice.
  • An entrepreneurial streak and a real interest in the Beauty, Wellness, Baby, or Home categories. Prior CPG experience in one of them is a plus, as is digital marketing experience.

LOCATION AND COMPENSATION

This role can be remote or hybrid, based in New York City or Austin, Texas, with regular coordination across our team based in New York City. Reports to the Director of Sales

  • Base Compensation: $55-75k (final offer depends on experience, location, and qualifications):

Total compensation also includes target annual bonus, equity participation, comprehensive health, dental, and vision benefits, 401(k), and PTO.
