Job summary

NHS 24 is recruiting a Resource Planning Scheduler to support an 8-week live window across 1000+ staff from our Cardonald Regional Centre. The role is hybrid with three days in the office per week, including a Monday requirement.

You will ensure the WFM system is up to date, schedule shifts, monitor leave, and provide monthly manager reports. You’ll collaborate with Forecast & Planning Specialists to optimise resource deployment and service levels.

Qualifications

  • Educated to SCQF Level 7 or equivalent; able to analyse operational data.
  • Experience in a Resource Planning role to support a contact centre modelled service.
  • High level of PC literacy; proficient in Microsoft Office applications, especially Excel.
  • Highly organised with a methodical approach and proactive problem-solving.

Responsibilities

  • Ensure WFM system is accurate and up-to-date with resource information.
  • Add new staff to WFM and assign correct rotas in coordination with managers.
  • Monitor Annual Leave thresholds and adjust thresholds as needed.
  • Produce monthly leave entitlements and usage reports for managers.
  • Schedule all shifts and exception codes; coordinate with Planners for forecast alignment.
  • Promote CRT and educate management and frontline staff on role purpose.

As NHS Scotland's unique provider of a national tele-health and tele-care service, we are responsible for the delivery of health advice and information by telephone and online services to the population of Scotland 24 hours a day, 365 days a year. NHS 24 is a patient-focused service providing the people of Scotland with triage, advice, guidance, referral and information on health and healthcare services

Where We Are

We have five regional centres – Aberdeen, Dundee, South Queensferry, Cardonald and Clydebank.

This post will be based in our Cardonald Regional Centre. This role also supports hybrid working with three days in office per week, one of which must be Monday.

The Role

The Resource Planning Scheduler will support with delivering resource requirements within an 8-week live window through effective scheduling of resource by ensuring that shrinkage targets are not over utilised. You will manage schedules within an 8-week live window, through a virtual set up across all NHS 24's sites for circa 1000+ staff.

The successful candidate will provide recommendations to Forecast & Planning Specialists and Resource Planners on how to effectively deploy resources to achieve maximum efficiency and target service levels. In addition, the role holder will be point of contact for Frontline staff, Senior Charge Nurses and Team Managers to provide ongoing support

Key Responsibilities
  • Ensuring WFM system is accurate and up to date with resource information, highlighting any inaccuracies to Resource Planners
  • Ensure that all new staff are added to WFM and are assigned correct rotas, and arrange alignment to managers, based on percentage of “touch time” Ensure that everything is ready for go live
  • Monitor and audit Annual Leave thresholds to ensure that allowance is not exceeded and make recommendations for change in thresholds for future if Workforce Plan allows.
  • Produce monthly reporting for managers to show leave entitlement to booked, taken and remaining for their staff to ensure all leave is utilised and avoid the need to carry over.
  • Responsible for scheduling all shifts and exception codes and ensure that schedules are ran on Time and coordinate this in line with Planners forecast. Responsible for break and lunch optimisation
  • Continually promote CRT and build relationships with Management and Frontline staff to educate on role purpose and work together with peers and colleagues from NHS 24 wide
The Successful Applicant Will
  • Be educated to SCQF Level 7 or equivalent, and be able to analyse operational data to support workforce scheduling and resource deployment decisions
  • Demonstrate experience in a Resource Planning role to support a contact centre modelled service
  • Show a high level of PC literacy and use of Microsoft Office applications, especially excel
  • Be highly organised, with a methodical approach to work independently and proactively, demonstrating good problem-solving skills

NHS 24 offers a complete benefits package, with a fixed term contract of 1 year (October 2026 – September 2027), on Band 4 £31,537 - £34,303 (pro rata). Placement on salary scale is dependent on confirmation of previous relevant NHS service.
