Job description

As a Resource Manager, you will design and own Marco’s real-time demand-to-capacity program – partnering with service leaders and working across Service Delivery Coordinators, Project Coordinators, and Project Managers to match every work order and project engagement to the right resource, quickly, and building the system, forecasting discipline, and reporting that make it repeatable. You are responsible for overall workforce scheduling and capacity planning, providing quality services and solutions to our internal and external clients while maintaining a high level of client satisfaction.

ESSENTIAL FUNCTIONS:
  • Own and continuously improve Marco’s real-time demand-to-capacity program — a single system of record for capacity, skills, and availability across field and project resources, replacing manual, spreadsheet-based tracking.
  • Match incoming projects and work orders to the right resource based on availability, skill set, and customer segmentation/priority tier, so assignment is fast and consistent rather than a judgment call.
  • Partner with sales, pre-sales, and PMO leadership — incorporating forward-looking pipeline demand, not just closed work — to forecast upcoming demand and identify capacity gaps before they impact delivery, and drive integration across CRM, resourcing, and PMO systems so the data lives in one place.
  • Monitor utilization in real time, setting thresholds and alerts for over-allocation (burnout risk) and under-allocation (bench risk) across coordinators and project managers.
  • Publish and maintain honest, tier-based lead times — with a clear, limited expedite path — so sales can set accurate client expectations.
  • Run a standing capacity review cadence with delivery leadership that drives real hiring and reallocation decisions, and elevate resourcing conflicts, capacity shortfalls, or hiring needs with clear recommendations.
  • Close the loop on forecasting accuracy by comparing actual hours and outcomes to original estimates, feeding those learnings back into the model, and publish regular capacity/utilization reporting for leadership. Willingly take direction from leadership and others involved with special projects.
  • Accurately maintain and comply with documentation and administrative procedures in a timely basis to include time entry process.
  • Attend required company and departmental meetings.
QUALIFICATIONS:
  • Bachelor’s degree in business, project management, or a related field preferred; 5+ years of experience in resource/capacity planning, project management operations, or a related field required. Equivalent combination of education and experience will be considered, with deep hands‑on experience weighted heavily.
  • PMP, CAPM, or similar resource/project management certification is a plus but not required
REQUIRED SKILLS:
  • Resourcing & Capacity Planning – Ability to forecast demand, balance workloads, monitor utilization in real time, and match the right resource to the right project quickly, using MS Office, resourcing/PPM systems, and other company specific tools.
  • Communication – Must possess strong communication skills in working with others, and the ability to develop and maintain collaborative relations among all levels of an organization. Must effectively listen to others.
  • Commitment – This is needed to see a project or task from start to finish. Must possess the ability to maintain the same energy and dedication throughout the project in an effort to learn, accomplish, and achieve despite difficulty, failure, and opposition.
  • Organization – Ability to use time, energy, and resources in an effective manner to achieve intended goals.
  • Relationships – Effective at building trust, finding common ground, having emotional empathy, and ultimately building good relationships with others.
  • Teamwork – The ability to work with others on a combined task, make contributions to the task, and share the responsibility of the outcome.
  • Time Management – Ability to prioritize several tasks and keep them running simultaneously (multitasking). Also being able to recognize and respond to changing priorities in order to meet deadlines.
  • Enthusiasm – Display excitement and positive attitude towards work assignments, vendors, clients, and organization.
  • Flexibility – Adapt to changes in the work environment. Change approach or method to deal with difficult or unexpected situations while remaining calm. Have the ability to think quickly and articulate thoughts in an organized manner, even when unprepared.
  • Emotion Regulation – Ability to manage emotions, especially negative ones, to be able to think clearly and objectively, in turn to act accordingly.
  • Critical Thinking – Analyze and evaluate the facts so that you can make intelligent decisions on behalf of the organization. Don't just accept what is presented. Look for commonalities and logical relationships.
