The primary responsibility of the Resource Manager is to manage the flow of work in and out of the agency. The RM leads weekly production meetings, utilizing technology to appropriately balance workloads across the departments, reassigning resources as needed. The RM works closely with the Project Management team and department heads to identify and resolve bottlenecks within production.
Additionally, the RM works closely with Creative and Tech department heads to staff projects with appropriately and adequately skilled talent, identifying skill gaps and opportunities to train and grow associates to increase overall department utilization and quality, as well as managing freelancers.
The RM works with the VP Ops and VP CS to prioritize clients, working with the PM team to manage deliverable deadlines accordingly. The RM also works closely with the VP Ops and Finance team to review Creative and Tech team utilizations and realizations, as well as department revenue forecasts to support staffing and hiring plans.
RESPONSIBILITIES
- Manages flow of work in and out of the agency
- Ensures on-time delivery of all agency deliverables
- Manages Creative and Technology staff schedules and workload in approved technology
- Monitors daily, weekly and monthly load balancing and makes resource allocations adjustments
- Nurtures proactive communication between the agency’s teams
- Manages client production priorities and scheduling conflicts
- Manages freelancer onboarding
- Manages Creative and Technology department utilization(s) to goal
- Manages approved freelancer list
- Manages weekly agency production meetings
- Manages and maintains skill matrices of all Creative and Technology teams and identifies gaps in departmental/staff skill sets
- Maintains professional internal and external relationships that meet company core values

HIGHEST-LEVEL TASKS
New Business Development
- Provides recommendations to CEO/Business Development lead on agency service offerings
- Informs Business Development, VP CS and VP Ops of gaps in production schedule and lead times for proposed programs/projects
AOR Response
- Reviews initial AOR SOW timelines
- Reviews staffing plan for AOR clients
Non-AOR Response
- Reviews program/campaign/project timelines for SOWs
- Reviews initial AOR/program/campaign estimates, identifying resource needs and potential resource gaps
Program Execution
- Reviews work-back schedules and maps to existing resources, identifying over-allocated resources
- Participates in internal program/campaign/project kickoff meeting for key clients or deliverables
- Keeps Creative and Technology teams informed, on-task and on-schedule
- Works with PM to schedule and reschedule tasks as priorities change
- Meets with all Creative + Technology teams daily to review progress and anticipate workflow issues
- Notifies PM when (if) client deliverables/milestones may not be met
Program Administration
- Reviews key SOWs + project estimates, identifying key resource needs and potential resource gaps
- Works with PS, Creative and Technology leads to identify appropriate resources for each project
- Reviews allocations of internal and external resources for approved projects in technology
- Provides agency production schedule to Client Services, Technology + Creative departments
- Provides weekly individual resource schedules and daily hot sheets
- Works with VP Ops + COO to manage the priority listing of all clients
- Participates in escalated billing/revenue recognition meetings
Nurturing/Organic Growth
- Reviews revenue forecasting and provides recommendations on agency staffing
Admin
- Works with department leads to negotiate pricing with freelancers for preferred vendor list
- Works with COO to balance freelancer outsourcing expense
- Monitors estimated vs. allocated vs. actual hours and identifies discrepancies to increase agency estimating accuracy
- Reviews and approves project templates in approved technology
- Leads daily (as possible) stand-up Creative/Technology resourcing meetings
- Works with department leads to identify training/growth opportunities for staff within programs/projects
QUALIFICATIONS
- 10+ years of Project Management or Creative Manager experience
- Marketing agency experience
- Skilled in maintaining production calendar and load balancing available resources
- Skilled in maintaining skill matrices and identifying employee development opportunities
- Skilled in identifying factors lowering agency utilization and working with department heads to find solutions
- Experience analyzing revenue forecasting and translating to headcount needs
- Experience with Workamajig, Clients + Profits or other integrated operations tools required
