Job summary

Hope Learning Academy in Springfield, IL is seeking an administrative support professional to coordinate essential residential services functions. You will set shifts, post overtime, assign staff for medical appointments, and process payroll entries in ADP.

Qualifications

  • 60 college credit hours or equivalent experience.

Responsibilities

  • Sets shifts and fills overtime vacancies according to guidelines.
  • Assigns staff for medical appointments and monitors calendar.
  • Checks payroll punches biweekly and maintains attendance records.
  • Sends out training notices for recertification.
  • Maintains work schedules and reports tardiness/absenteeism to home admins.
  • Posts and awards overtime weekly and ensures proper approvals.
  • Reviews medical calendar and accompanies youth on medical trips.
  • Inputs daily updates of employee status in ADP.
  • Notifies staff of scheduled re-certification training before expiration.
  • Verifies staff schedules against actual hours and flags discrepancies.
  • Maintains call lists with updated employee phone numbers.
  • Acts as a mandated reporter under agency policies.
  • Ensures compliance with Illinois DMH/Confidentiality/Childcare acts.
  • Performs other duties within scope as assigned.

Hope is a clinical, educational, and therapeutic provider for individuals with intellectual and developmental disabilities, including Autism Spectrum Disorder. We exist to help children and their families reach their maximum potential by providing state-of-the-art applied behavioral analysis therapies and access to recreation, vocational training, and individualized education programming. Our mission is to provide the best services in the most inclusive environments to encourage persons to fulfill their individual potential through evidence-based treatment, advocacy, and community education. Since 1957, the Hope Learning Academy has led the development of new methods to educate, treat, and care for children with Autism Spectrum Disorders and other intellectual and developmental disabilities.

WHAT YOU WILL DO

Under supervision of the Director of Residential Services provides administrative supports in coordinating essential functions of residential. Responsibilities include but are not limited to setting shifts and filling overtime vacancies: Posting and awarding overtime according to guidelines established by management and AFSCME Local 2481; Assigning staff for medical appointments. Checking payroll punches twice within each week; Sending out training notices for recertification training; Maintaining work schedules; Monitoring tardiness and absenteeism and sending reports to home administrators.

  • Ensures adequate staffing levels in accordance with established parameters, appropriately implements overtime and floating procedures notifying the appropriate administrative staff of any issues/concerns.
  • Weekly postings and awarding of overtime. Processes weekly overtime and notifies employees of overtime awarded.
  • Reviews medical calendar and assign staff to accompany youth on medical trips.
  • Inputs daily updates of employee status in ADP.
  • Contacts employees and sends out notices of scheduled re-certification training before expiration date.
  • Verifies staff detailed schedule against actual working hours twice weekly, reviewing for missing punches.
  • Notifies managers of tardiness and absenteeism of employees in accordance with policies and procedures.
  • Maintains listing of employees’ phone numbers on the call list and input updates of employee phone numbers, as they become available.
  • Assumes responsibility as a mandated reporter concerning incidents of purported abuse/neglect of students as outlined in the agency’s policies and procedures.
  • Assumes responsibility for assuring compliance of youth rights and program delivery as defined in the Illinois Department of Mental Health Code and the Confidentiality Act, as well as the Childcare Act of the Illinois Department of Children and Family Services.
  • Performs other duties as required or assigned which are reasonably within the scope of the duties enumerated above.
WHAT YOU WILL BRING
