Job summary

SustainableHR is seeking a Maintenance Coordinator to join our property management team in the Brookfield, WI area. You will be the central point of contact for residents, managers, and vendors, coordinating requests and dispatching work orders to internal techs and contractors.

Ideal candidates will have strong organizational and communication skills, experience with maintenance work orders and property management software, and a focus on exceptional customer service in a fast-paced environment.

Qualifications

• Experience coordinating maintenance, service dispatch, facilities or property management.
• Ability to manage multiple priorities and communicate effectively.
• Experience with property management software is preferred.
• Proficiency with Microsoft Office tools (Outlook, Excel, Word).
• Residential or multifamily property management experience is preferred.

Responsibilities

• Serve as the primary point of contact for maintenance requests from residents, property managers, and vendors.
• Receive, prioritize, and dispatch maintenance work orders to internal technicians and third-party contractors.
• Schedule repairs, preventative maintenance, inspections, and vendor appointments while minimizing service delays.
• Monitor work order progress to ensure timely completion and follow up with residents regarding completed repairs.
• Coordinate emergency maintenance requests and communicate effectively with all parties involved.
• Maintain accurate maintenance records, invoices, vendor documentation, and service histories within the property management software.
• Obtain and compare vendor quotes, schedule contracted work, and assist with vendor performance management.
• Support preventative maintenance programs to help preserve the condition and value of company properties.
• Coordinate unit turns by scheduling maintenance, inspections, cleaning, and contractor work between resident move-outs and move-ins.
• Assist with purchasing maintenance supplies and tracking inventory as needed.
• Work closely with property managers to identify recurring maintenance issues and recommend process improvements.
• Ensure maintenance activities comply with company policies, safety standards, and applicable housing regulations.
• Deliver outstanding customer service while maintaining professionalism during high-volume periods.
