The Greater Lawrence Family Health Center (GLFHC) is a multi-site, mission-driven nonprofit dedicated to providing high-quality patient care. Established in 1980, GLFHC employs over 700 staff and operates clinical sites across the Merrimack Valley. GLFHC is the sponsor of the Lawrence Family Medicine Residency program.

Description

The Residency Senior Administrative Coordinator provides administrative support to the Lawrence Family Medicine Residency Leadership Team. This role works with the GME Director and supports the Vice President of Clinical Education, Associate Program Directors, Inpatient Directors, and Team Leaders.

Responsibilities:

  • First point of contact for the Residency Program; greet visitors and provide exemplary customer service.
  • Perform administrative duties for the Vice President of Clinical Education and senior Residency leadership; draft, type, and transcribe reports and correspondence; screen calls and mail.
  • Attend meetings as needed to record minutes.
  • Manage communications for the VP of Clinical Education; exercise judgment in evaluating and handling communications.
  • Maintain confidentiality of verbal and written communications and information for the VP of Clinical Education, Associate Program Directors, and GME Director.
  • Facilitate inter/intradepartmental communication and administrative tasks.
  • Coordinate travel and expense reimbursement for the VP and Associate Program Directors.
  • Manage conference rooms and scheduling on the third floor of Haverhill Street.
  • Prepare meeting notices, agendas, minutes, and arrangements under direction of leadership.
  • Coordinate and contribute to administrative projects; gather data and prepare statistical and narrative reports.
  • Serve as a liaison between the Residency Leadership team and external residency partners (e.g., LGH and HFH).
  • Maintain schedules for VP of Clinical Education and Associate Program Directors; prioritize calendar commitments.
  • Coordinate program evaluations, graduate exit interviews, and residency recruitment activities.
  • Plan travel arrangements, including registration, transportation, and lodging.
  • Support quality improvement activities related to performance at individual, team, and organizational levels.
  • Travel between sites may be required; perform any other duties as assigned.
Qualifications
  • Experience: Minimum five (5) years of high-level administrative experience; healthcare setting preferred. Ability to maintain confidentiality; strong organizational and follow-through skills. Excellent verbal and written communication. Ability to prioritize and manage multiple tasks from multiple managers. Self-directed, reliable, and detail-oriented.
  • Must be well-organized and a professional self-starter.
  • Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
