Job summary

Responsibilities

  • Manages the development, planning and coordination of Residency rotations.
  • Organizes the ERAS applicant interview process; coordinates recruitment activities, may involve extensive travel.
  • Administers policy implementation for rules and regulations governing educational programs; reviews credentialing/licensure needs.
  • Supports accreditation efforts with ACGME, RRC, GMEC, and HIPAA compliance.
  • Develops and plans annual educational events: welcome ceremonies, orientation, graduation, and activities.
  • Maintains a database for reporting and curriculum inventory; trains on New Innovations software.
  • Oversees program budgets and expenditures with GME; reconciles accounts.
  • Manages evaluation systems, files, and participant counseling as needed.
  • Oversees administration of educational exams when required.
  • Supervises GME office staff; interviews and evaluates personnel.
  • Monitors duty hours, records, leave, and personnel policies for participants.
  • Performs other duties as assigned.

Under the direction of the Program Director, the Residency Program Coordinator is responsible for the operational management, coordination, and administrative oversight of the Family Medicine Residency Program. This position serves as a key liaison among residents, faculty, hospital leaders, accrediting organizations, medical schools, and community partners.

The role requires initiative, independent judgment, and a comprehensive understanding of accreditation standards, graduate medical education requirements, and program-specific policies.

Position Responsibilities:

  • Manages the development, planning and coordination of Residency rotations.
  • Organizes the ERAS applicant interview process; corresponds with eligible participants. Develops and directs recruitment activities, which may include extensive and overnight travel for recruitment fairs.
  • Administer and manage the policy implementation of all rules, regulations and prescripts regulating educational programs; reviews participants requirements such as, credentialing, licensure, as appropriate.
  • Assists in achieving and maintaining program accreditation with regard to compliance with the criteria of corresponding organizations such as the Accreditation Council for Graduate Medical Education (ACGME), Residency Review Committee (RRC), Graduate Medical Education Committee (GMEC), and HIPPA.
  • Develop, coordinate and plan annual educational program events, welcome ceremony, orientation, graduation and extracurricular activities.
  • Maintain informational database system for various reporting purposes and curriculum inventory. Ensures compliance with resident case experience (requires training with New Innovations program software).
  • Manage coordination and authorization of educational program budgets and expenditures to include recruitment, coordination with Graduate Medical Education (GME); reconcile all accounts and expenditures.
  • Manages evaluation system to include participant evaluation, grade reporting; coordinates participant file maintenance; monitor and counsel program participants when needed.
  • Oversees administration of educational exams when needed.
  • Manages educational support staff; interview, select and evaluate GME office personnel.
  • Provides direct and indirect supervision of program participants to include duty hours, personnel records, leave of absences, personnel policy issues.
  • Performs other duties as assigned.

Requirements: Bachelor’s degree from an accredited college or university in a related field with a minimum of 2 years work experience in that field. Or, an Associate’s degree and a minimum of four years of directly relevant educational program experience. Or, a high school diploma or GED with ten years of directly applicable experience. Prefer experience working with residency programs, working with medical education programs, or similar setting.
