Job summary

Hudson Regional Hospital seeks a Residency Coordinator to manage daily administrative tasks for the ACGME GME training program in Bayonne, NJ. You will assist the Admin Director and Program Director, coordinating recruitment, onboarding, and regulatory compliance to ensure quality education for residents, fellows, and students.

  • Highly developed computer skills with Microsoft Office: Word, Excel, PowerPoint, Publisher.
  • New Innovations Residency Management software experience preferred
  • Working knowledge of Graduate Medical Education (Preferred)
  • Demonstrated positive interpersonal relations with physicians are preferred.
  • Minimum of associate’s degree or equivalent combination of education and experience preferred. The successful candidate must have experience in administrative support.
  • Strong interpersonal and organizational skills.
  • A team player with a can-do-anything attitude
  • Excellent time management and ability to prioritize numerous tasks

Responsibilities

  • Manage day-to-day administrative tasks for the ACGME GME training program.
  • Assist Admin Director and Program Director in maintaining educational quality and regulatory compliance.
  • Serve as a liaison between Program Director, Residents, Fellows, faculty, GME Office, sites, and other departments.
  • Provide administrative support including office coordination, word processing, and file maintenance for Residents, Fellows, Students, staff, and faculty.
  • Coordinate recruitment and onboarding activities for new Trainees.
  • Oversee/maintain electronic databases such as ACGME, NRMP, ERAS, New Innovations, and others as needed.
  • Coordinate educational functions of the GME Program and ensure timely dissemination of information.
  • Arrange program meetings and aid in meeting documentation.
  • Coordinate ACGME site visit preparation with Admin Director.
  • Coordinate conferences and exams within the program.
  • Assist with graduation events and other GME activities.
  • Ensure timely submission of GME documents.
  • Support all aspects of department's CME activities and other duties.
  • Assist in implementing schedules and rotation schedules including New Innovations.
  • Schedule and coordinate meetings and conference room use; manage food orders and notifications.
  • Prepare reports related to Graduate Medical Education regularly.
  • Perform additional tasks as assigned by the Admin Director.
  • Assist Admin Director with trainee recruitment.

Department Overview:

The Department of Medical Education oversees all educational activities within the medical center, including medical student clerkships, intern, and Residency/ GME programs.

  • Manage day-to-day administrative tasks for the ACGME GME training program.

  • Serve as a liaison between Program Director, Residents, Fellows, faculty, GME Office, participating sites, and other departments.

  • Collaborate directly with the Admin Director and Program Director(s).
  • Assist in coordinating recruitment and onboarding activities for new Trainees.
  • Oversee/maintain electronic databases such as ACGME, NRMP, ERAS, New Innovations, and other Graduate Medical Education databases as needed.
  • Coordinate educational functions of the GME Program, ensuring timely dissemination of information and documentation for efficient operation.
  • Arrange and facilitate program director and Admin Director with dept. and GME program meetings, aiding in meeting documentation.
  • Coordinate ACGME site visit preparation activities in collaboration with the Admin Director.
  • Coordinate conferences and exams within the program.
  • Assist with graduation events and other GME-related activities.
  • Ensure timely submission of GME documents.
  • Support all aspects of the department's Continuing Medical Education activities and other assigned duties.
  • Assist in administering the GME program and department operations, ensuring adherence to GME policies, procedures, and ACGME guidelines and regulations.
  • Assist in implementing schedules, monthly calendars, and yearly rotation schedules including in New Innovations.
  • Schedule and coordinate meetings and conference room use, including ordering food, reserving space, and sending meeting notifications.
  • Assist in preparing reports related to Graduate Medical Education on a regular basis.
  • Perform additional tasks as assigned by the Admin Director .
  • Assist the Admin Director with the trainee recruitment.
