Job summary

Park Hyatt Aviara Resort in Carlsbad seeks a Reservations Coordinator to manage guest room requests, provide hotel information, and coordinate group reservations with a focus on luxury service. The role handles calls, mail, and faxes, while ensuring smooth operation of reservations workflows across multiple systems.

The ideal candidate has at least 1 year in hospitality customer interactions, strong communication and computer skills, and a desire to grow a career in hospitality.

Qualifications

• 1 year of experience in customer interactions within Hotels and/or Food & Beverage.
• Excellent mathematical, written, spoken, technical and computer skills.
• Desire for building a career in hospitality preferred.
• Must be able to perform job functions with attention to detail, speed and accuracy; prioritize, organize and follow-up.

Responsibilities

• Handle guest room reservation requests and provide hotel and local area information.
• Answer all incoming calls and manage guest mail and faxes.
• Block rooms, enter group rooming lists, post prepayments, and manage no-show billing.
• Maintain professional communication with guests before, during and after their stay.
• Log and notify relevant teams for guest service opportunities and recovery.

About the Role — Reservations Coordinator

A Reservations Coordinator is responsible for reservations duties, but is not limited to handling guest room reservation requests for the hotel, provide guest with hotel facility information and answer questions relating to the hotel and local area, blocking rooms, entering group rooming lists, posting prepayments, billing no-show reservations, and other duties as assigned. Also responsible for answering all incoming calls, handling guest mail and faxes, and taking messages for guests.

Some of the responsibilities include:

• Knowledge of Hyatt, Forbes 5 Star and AAA 5 Diamond Luxury Standards and Service Expectations
• Professional, personalized and engaging luxury service required
• React quickly to guest service opportunities and recovery, logging and notifying proper areas where appropriate and take ownership of recovery process with support of leadership team
• This individual is responsible for answering incoming calls to the resort and must have good typing skills, a pleasant attitude and excellent phone demeanor
• Correspond with guests in a professional manner before, during and after their stay
• Experience with as many of the following hotel systems is preferred: Opera, Reserve, HotSOS, Zingle, Open Table, Infrasys or Micros, Book4Time, Alice (Go Concierge)

Wage Information

The hourly rate for this position is $24.00.

Qualifications

• 1 years of experience in customer interactions within Hotels and/or Food & Beverage
• Excellent mathematical, written, spoken, technical and computer skills
• Desire for building a career in hospitality preferred
• General Skills: Must be able to perform job functions with attention to detail, speed and accuracy; prioritize, organize and follow-up; be a clear thinker, remaining calm and resolving problems using good judgment
• Ability to work with minimal supervision; maintain confidentiality of information and pertinent data
• Prioritize and engage in multiple tasks simultaneously. Must be detailed in your approach and thorough in your follow up in both action and communication
• Computer literate in Microsoft Window applications required
• Highly responsible & reliable, experience creating trust and handling high expectations with guests
• Ability to work well under pressure in a fast paced environment, and work cohesively as part of a team
• Ability to focus attention on guest needs, remaining calm and courteous at all times
• Confident personality with excellent personal presentation and communications skills
