This full-time University Staff position reports to the Chief of Artificial Intelligence and Clinical Research Program Director and supports budget, reporting, and program evaluation, with a hybrid on-campus

Responsibilities

• Lead day-to-day operations of the oculomics program, ensuring study activities, workflows, staffing, and timelines are coordinated and executed effectively.
• Oversee ophthalmic imaging/photography program, including standardized image acquisition, photographer workflows, equipment needs, quality control, and operational consistency across clinical locations.
• Recruit, onboard, train, schedule, and provide ongoing supervision and performance management for photographers and other program staff across this multi-site project.
• Ensure adherence to the study protocol, IRB requirements, data-management procedures, and quality standards, while identifying and resolving workflow issues that could affect data integrity or participant recruitment.
• Monitor enrollment, imaging volume, staffing capacity, and other key performance metrics; identify opportunities for process improvement and expand/optimize the program.
• Coordinate with investigators, clinical teams, research staff, and participating clinics to identify eligible participants, facilitate enrollment, and ensure study procedures are integrated efficiently into clinical workflows.
• Prepare reporting deliverables (e.g., weekly/monthly enrollment reports, documentation, yearly reporting to program evaluation committee).
• Support the selection and enrollment process for clinical research study subjects, including help in determining how many people will participate.

The Program Manager will serve as a primary point of contact and manager across the full project team, as a key point of contact on operations and deliverables for a high-profile research study with diverse stakeholders. Additionally, this full-time, University Staff (non-classified) position is responsible for high-level administrative duties, operations, regulatory and research support, and technical project management in the Department of Ophthalmology, Division of Artificial Medical Intelligence. This position will report to the Chief of Artificial Intelligence and Clinical Research Program Director and will partner closely to execute the goals and vision of the research study.

Key Responsibilities:

Project & Operations Management (70%)

• Lead day-to-day operations of the oculomics program, ensuring study activities, workflows, staffing, and timelines are coordinated and executed effectively.
• Oversee the ophthalmic imaging/photography program, including standardized image acquisition, photographer workflows, equipment needs, quality control, and operational consistency across clinical locations. Recruit, onboard, train, schedule, and provide ongoing supervision and performance management for photographers and other program staff across this multi-site project.
• Ensure adherence to the study protocol, IRB requirements, data-management procedures, and quality standards, while identifying and resolving workflow issues that could affect data integrity or participant recruitment.
• Monitor enrollment, imaging volume, staffing capacity, and other key performance metrics; identify opportunities for process improvement and work with leadership to expand and optimize the oculomics program.
• Coordinate with investigators, clinical teams, research staff, and participating clinics to identify eligible participants, facilitate enrollment, and ensure study procedures are integrated efficiently into clinical workflows
• Serve as lead for meetings, including scheduling meetings, distributing meeting invites, developing agendas, leading discussions, distributing summaries and actions items, providing necessary follow-up, and tracking of tasks.
• Triage and prioritize information and questions flowing to, across and out from the team.
• Identify and implement ways to improve and streamline internal processes, including developing new internal or programmatic process policies as needed.
• Prepare reporting deliverables (e.g. weekly/monthly enrollment reports, requested documentation, yearly reporting to program evaluation committee, etc.).
• Support the selection and enrollment process for clinical research study subjects, including help in determining how many people will participate and criteria for involvement.
• Support the evaluation of research data, including recording and reporting on outcomes & findings.
• Collaborate with physicians, clinical staff, and administrative leaders to define project scope, timelines, goals, and strategies; Managing the implementation of the clinical operations of the award
• Manages secure data collection and storage by staff.

Budget Management (20%)

• Work with department leadership and finance teams to manage the $6.9M award budget to ensure all expense are accurately accounted for and within the parameters of the award.
• Oversees the tracking and disbursement of award budget.
• Partners with Director of Finance and Administration and the Fiscal Administrator to generate reporting and financial analysis

Staff Supervision and Management (10%)

• Supervision of up to 8 project photographers, and possibly other staff.
• Ensure participating clinics are sufficiently staffed, and coverage is provided during absences
• Provide training and coaching for staff to meet the goals and milestones of the program.

Work Location

Hybrid - this role is eligible for a hybrid schedule of 3 days per week on campus and as needed for in-person meetings.

Qualifications:

Minimum Qualifications

• Bachelor's degree in any field
  • A combination of education and related technical/military/paraprofessional experience may be substituted for a bachelor's degree on a year for year basis.
• Four (4) years of clinical research or related experience

Preferred Qualifications

• Bachelor's degree in science or health related field
• Five (5) years clinical research or related experience
• Prior experience providing program and/or project management duties in a clinical research setting
• Experience with electronic data capture systems (e.g. EMR or EHR and data management systems)
• Experience working with a CRM and project management tools.
• Experience working in ophthalmology research with particular focus on artificial intelligence research
• Experience working in multidisciplinary teams (e.g., clinicians, clinical/research teams, software engineers, data scientists)

Anticipated Pay Range

The starting salary range (or hiring range) for this position has been established as $70,446-$94,398.

The above salary range (or hiring range) represents the University's good faith and reasonable estimate of the range of possible compensation at the time of posting. This position may be eligible for overtime compensation, depending on the level.
