Research Administration Assistant
High school diploma and four years of relevant experience or equivalent college coursework in place of experience.
The PHHP Research Core is dedicated to fostering the scientific advancement of investigators in the college, providing helpful information, guidance, and assistance in navigating the overall administration of those projects. The Core provides college-level review of all requests for funding and proposal submissions to both internal and external agencies for the college’s eight departments and the Dean’s Office. We are looking for a meticulous, critical thinking team member with an emphasis on excellent customer support. The Research Administration Assistant position, under the guidance of the Research Administration Managers, the Accounting Specialist, and the Director of Research Administration, will assist the team with a set group of essential day-to-day operations. Those operations would include: Salary Distribution Entry: For faculty to be paid from grants, their appropriate effort and time need to be recorded in the UF system. These changes are guided from discussions with the faculty and research team about the projects that they are working on and their planned projects over the semester, and is an essential part of the salary, budget, and effort systems. This position will work with the research teams and the research core to ensure that updates are made timely in the UF systems to accurately reflect the work our research teams are making. Monthly Reporting: Assist the senior research administrators and the Accounting Specialist with the creation and review of monthly financial reports for the faculty. The monthly reporting processes assist faculty and RAs with the tracking and management of the research awards. Reconciliation: Work with the Accounting Specialist in the PHHP Research Core to review the charges placed on research funds as the first reviewer in our reconciliation process – ensuring documentation is included on the charges, the charges routed appropriately, and resolving any errors or questions the team may have on the charges. Research Core Proposal Assistance: Assist the pre-award team as part of the process in learning the research administration process. The position will work with different members of the team to create summaries which provide information about common proposals, learn how to review proposal documents for basic requirements, and assist with compiling grant proposal files during high demand moments. Research Core Fiscal Assistance: As needed and requested, this position will assist the research core post-award team with routine tasks, such as assisting in making and preparing projections for faculty meetings, assisting in moving charges on to the appropriate grant funds, award start up and close out, and other transactional arrangements as necessary.
$21.75-$23 per hour ($45,414 - $48,024 per annum, based on education, skills and experience)
