Job summary

Town Hall Seattle is seeking a Rental Event Manager to coordinate and advance events produced by rental partners, serving as the primary contact from advance through completion. This hybrid role requires in-person responsibilities with evenings/weekends, reporting to the Assistant Director of Production.

The position supports 150+ events per season across multi-space venues and upholds accessibility and inclusive values.

Qualifications

• 3+ years in event planning/production, arts or hospitality.
• Excellent verbal and written communication.
• Detail-oriented with strong organizational skills.
• Willing to work flexible schedule incl. evenings/weekends/holidays.
• Proficient in Microsoft Office 365; Salesforce a plus.
• Ability to lift 25 lbs and work in a high-volume environment.
• Alignment with Town Hall Seattle mission.

Responsibilities

• Serve as primary liaison for rental clients from advance to post-event.
• Conduct site visits and planning meetings to capture goals and needs.
• Lead clear, timely planning and problem-solving communication.
• Develop production plans with equipment, staffing, vendors, and accessibility.
• Coordinate with internal and external teams to resolve issues.
• Produce event notes, floor plans, and day-of-show needs.
• Attend cross-department meetings and ensure accessibility services.
