Job summary

Kirby-Smith Machinery, Inc. is seeking a Rental Coordinator to handle rental calls, coordinate equipment rentals, and ensure accurate contracts and paperwork.

The role focuses on delivering strong customer service and coordinating deliveries with drivers or external transport services. The position requires at least a high school diploma and two years of heavy equipment experience, with proficiency in Microsoft Office and good communication skills.

Responsibilities

• Answers calls and in-person requests for equipment rentals using high-level customer service skills.
• Initiates rental contracts and completes all paperwork, ensuring charges follow company policies.
• Schedules equipment deliveries, training, and pickup via company drivers or outside transport services.
• Ensures equipment is serviced and prepared for rental with the Service department.
• Monitors repairs and ensures all paperwork is complete, accurate, and timely.
• Monitors and tracks rental equipment inventory.
• Prepares reports as needed.
• Offers recommendations to the Sr. Rental Coordinator and presents solutions when possible.
• Maintains consistent and reliable on-site attendance.
• Performs other duties as assigned.

Rental CoordinatorPosition Purpose

Responsible for handling rental calls and coordinating equipment rentals according to specific guidelines and procedures.

Rental Coordinator Responsibilities

• Communicates and supports the Kirby Smith vision and core values of One Mission, One Team, One Plan, One Goal
• Answers telephone and in-person requests for equipment rentals using high-level customer service skills
• Initiates rental contracts and completes all associated paperwork appropriately and in a timely manner, ensuring that all appropriate charges are billed to the customer according to company policies and procedures
• Schedules equipment deliveries, training, and the pickup of rental equipment through company drivers or outside contract transport services
• Ensures equipment is properly serviced and prepared for rental by effectively working with the Service department
• Monitors repairs and ensures all paperwork is complete, accurate, and timely
• Monitors and tracks rental equipment inventory
• Prepares reports as needed
• Makes suggestions or recommendations to the Sr. Rental Coordinator; brings observed problems or issues to the attention of the Sr. Rental Coordinator and presents suggestions and solutions to resolve the problem, if possible
• Ensures consistent and reliable on-site attendance
• Performs other job-related duties as assigned

Rental Coordinator Minimum Qualifications

• High School Diploma or Equivalent
• Two (2) years of heavy construction equipment experience or comparable experience.
• Proficient with Microsoft Office - Word, Excel, PowerPoint, Outlook, and various web-based applications
• Strong verbal and written communication skills and organizational skills

Rental Coordinator Physical Requirements

• Pushes/Pulls/Lifts/Carries up to 50 pounds without assistance
• Physical ability to squat, twist, turn, bend, stoop, climb, and reach overhead
• Must be able to work in extreme heat or cold and wet, damp, dusty, or windy conditions and tolerate exposure to typical noises, hazardous materials, and fumes/odors
• Physical ability to perform maintenance on equipment for extended hours of time with continual mounting and dismounting throughout the workday
• Ability to adhere to personal protective equipment (PPE) policy and maintain individual PPE in a functional condition
