Job summary

Kirby-Smith Machinery, Inc. is seeking a Rental Coordinator to handle rental calls and coordinate equipment rentals according to company guidelines. You will initiate contracts, coordinate deliveries and pickups, and work with the Service department to ensure gear is serviced and ready for rental.

You will maintain accurate paperwork, monitor inventory, and support the Sr. Rental Coordinator with process improvements while upholding safety and on-site attendance.

Qualifications

• High School Diploma or Equivalent.
• Two years of heavy construction equipment experience or comparable experience.
• Proficient with Microsoft Office - Word, Excel, PowerPoint, Outlook, and various web-based applications.
• Strong verbal and written communication skills and organizational skills.

Responsibilities

• Answer requests for equipment rentals by phone or in person with high-level customer service.
• Initiate rental contracts and ensure proper billing per policies.
• Schedule equipment deliveries, training, and pickups with drivers or transport services.
• Coordinate with Service to ensure equipment is serviced and prepared for rental.
• Monitor repairs and ensure all paperwork is complete and accurate.
• Track rental equipment inventory and prepare reports as needed.
• Suggest improvements to the Sr. Rental Coordinator and escalate issues as needed.
• Maintain consistent on-site attendance and perform other duties as assigned.

Rental CoordinatorPosition Purpose

Responsible for handling rental calls and coordinating equipment rentals according to specific guidelines and procedures.

Rental Coordinator Responsibilities

• Communicates and supports the Kirby Smith vision and core values of One Mission, One Team, One Plan, One Goal
• Answers telephone and in-person requests for equipment rentals using high-level customer service skills
• Initiates rental contracts and completes all associated paperwork appropriately and in a timely manner, ensuring that all appropriate charges are billed to the customer according to company policies and procedures
• Schedules equipment deliveries, training, and the pickup of rental equipment through company drivers or outside contract transport services
• Ensures equipment is properly serviced and prepared for rental by effectively working with the Service department
• Monitors repairs and ensures all paperwork is complete, accurate, and timely
• Monitors and tracks rental equipment inventory
• Prepares reports as needed
• Makes suggestions or recommendations to the Sr. Rental Coordinator; brings observed problems or issues to the attention of the Sr. Rental Coordinator and presents suggestions and solutions to resolve the problem, if possible
• Ensures consistent and reliable on-site attendance
• Performs other job-related duties as assigned

Rental Coordinator Minimum Qualifications

• High School Diploma or Equivalent
• Two (2) years of heavy construction equipment experience or comparable experience.
• Proficient with Microsoft Office - Word, Excel, PowerPoint, Outlook, and various web-based applications
• Strong verbal and written communication skills and organizational skills

Rental Coordinator Physical Requirements

• Pushes/Pulls/Lifts/Carries up to 50 pounds without assistance
• Physical ability to squat, twist, turn, bend, stoop, climb, and reach overhead
• Must be able to work in extreme heat or cold and wet, damp, dusty, or windy conditions and tolerate exposure to typical noises, hazardous materials, and fumes/odors
• Physical ability to perform maintenance on equipment for extended hours of time with continual mounting and dismounting throughout the workday
• Ability to adhere to personal protective equipment (PPE) policy and maintain individual PPE in a functional condition
