Job summary

Kirby Smith is seeking a Rental Coordinator to handle rental calls and coordinate equipment rentals in alignment with company guidelines. You will deliver excellent customer service, prepare contracts, and manage scheduling with drivers and third-party transport.

Qualifications

• Two years of heavy construction equipment experience or equivalent.
• Proficient with Microsoft Office (Word, Excel, PowerPoint, Outlook) and web apps.
• Strong verbal and written communication and organizational skills.

Responsibilities

• Answers telephone and in-person requests for equipment rentals with high-level customer service.
• Initiates rental contracts and bills charges according to company policies.
• Schedules equipment deliveries, training, and pickups with drivers or contract transport.
• Ensures equipment is serviced and prepared for rental with the Service department.
• Monitors repairs, paperwork, and rental inventory for accuracy and timeliness.
• Performs other job-related duties as assigned.

Rental Coordinator Position Purpose

Responsible for handling rental calls and coordinating equipment rentals according to specific guidelines and procedures.

Rental Coordinator Responsibilities

• Communicates and supports the Kirby Smith vision and core values of One Mission, One Team, One Plan, One Goal


• Answers telephone and in-person requests for equipment rentals using high-level customer service skills


• Initiates rental contracts and completes all associated paperwork appropriately and in a timely manner, ensuring that all appropriate charges are billed to the customer according to company policies and procedures


• Schedules equipment deliveries, training, and the pickup of rental equipment through company drivers or outside contract transport services


• Ensures equipment is properly serviced and prepared for rental by effectively working with the Service department


• Monitors repairs and ensures all paperwork is complete, accurate, and timely


• Monitors and tracks rental equipment inventory


• Prepares reports as needed


• Makes suggestions or recommendations to the Sr. Rental Coordinator; brings observed problems or issues to the attention of the Sr. Rental Coordinator and presents suggestions and solutions to resolve the problem, if possible


• Ensures consistent and reliable on-site attendance


• Performs other job-related duties as assigned

Rental Coordinator Minimum Qualifications

• High School Diploma or Equivalent


• Two (2) years of heavy construction equipment experience or comparable experience.


• Proficient with Microsoft Office - Word, Excel, PowerPoint, Outlook, and various web-based applications


• Strong verbal and written communication skills and organizational skills

Rental Coordinator Physical Requirements

• Pushes/Pulls/Lifts/Carries up to 50 pounds without assistance


• Physical ability to squat, twist, turn, bend, stoop, climb, and reach overhead


• Must be able to work in extreme heat or cold and wet, damp, dusty, or windy conditions and tolerate exposure to typical noises, hazardous materials, and fumes/odors


• Physical ability to perform maintenance on equipment for extended hours of time with continual mounting and dismounting throughout the workday


• Ability to adhere to personal protective equipment (PPE) policy and maintain individual PPE in a functional condition
