Job summary

MARS Energy Solutions is seeking a highly organized Project Coordinator I to support project execution from planning through closeout. This role works closely with Project Managers, vendors, subcontractors, and internal stakeholders to ensure projects stay on schedule, documentation remains accurate, and critical milestones are achieved.

Qualifications

• High School Diploma or equivalent required.
• 2+ years of experience supporting construction, engineering, renewable energy, or similar projects preferred.
• Experience managing project documentation, schedules, permits, purchase orders, and change orders.
• Strong organizational skills with the ability to manage multiple projects and deadlines simultaneously.
• Proficiency with Microsoft Office Suite.
• Experience with project management or document control software such as Procore or similar platforms preferred.
• Experience in the solar industry is highly preferred.
• Familiarity with NetSuite ERP is a plus.
• Strong written and verbal communication skills.
• Ability to work effectively in a collaborative, team-oriented environment.

Responsibilities

• Support Project Managers with daily project coordination and administrative activities.
• Manage project documentation including RFIs, submittals, work orders, change orders, meeting minutes, permits, and project records.
• Coordinate project meetings, distribute agendas, and track action items.
• Assist with maintaining project schedules and monitoring key project milestones.
• Track inspections, permits, equipment deliveries, contractual deadlines, and closeout documentation.
• Coordinate with vendors, suppliers, subcontractors, and internal stakeholders to support project execution.
• Identify schedule risks, potential delays, and communicate concerns to Project Managers.
• Submit permits and revisions to local authorities and monitor approvals through project completion.
• Support procurement activities including RFQs, purchase orders, and related documentation
