Job summary

American Institutes for Research is seeking a part-time Project Support Associate for Higher Education in Prison. You will provide administrative, research, logistical, and production support to ensure successful project delivery across the HEP portfolio.

The role involves coordinating national convenings, organizing materials, and guiding resources from draft to public release, while maintaining strong organization and collaboration in a fast-paced environment.

Qualifications

• HS diploma or higher with 2+ years of relevant experience.
• Experience supporting technical assistance, research, or convening work.
• Understanding of tracking deliverables across multiple workstreams.
• Experience coordinating virtual convenings, working groups, or communities of practice.
• Proficiency with Word, Excel, Outlook, PowerPoint and Teams; knowledge of Airtable and SharePoint.
• Interest in higher education in prison or related fields.

Responsibilities

• Coordinate logistics for meetings and virtual convenings, including scheduling and registration.
• Prepare meeting materials and distribute notes and next steps.
• Capture notes and translate transcripts into summaries and action items.
• Support literature reviews, environmental scans, and reference lists.
• Route materials through QA and perform quality control reviews.
• Track deliverables and milestones across concurrent workstreams.
• Maintain processes, procedures, and tracking tools for admin support.
• Support onboarding of participants and assist project leadership with communications.
• Provide calendar and coordination support to senior staff and project team.
