Job summary

AMG & Associates, Inc. is seeking an archival specialist to organize and describe diverse collections, from manuscripts to photographs, ensuring accurate metadata and documentation.

You will manage finding aids, inventories, and CMS records while enforcing preservation standards and facilitating access for researchers. The role supports digitization prep, collaborates with archivists and researchers, and may offer remote or hybrid arrangements depending on project needs and policies.

Qualifications

• Bachelor’s degree in History, Archival Studies, Library Science, Information Science, Records Management, or related field.
• 3+ years of professional experience in archival processing, archives management, or related areas.
• Strong understanding of archival arrangement, description, accessioning, preservation, and collection management.
• Experience developing finding aids, inventories, catalog records, or metadata.
• Familiarity with archival standards, digitization workflows, and preservation procedures.
• Excellent written and verbal communication; strong attention to detail.

Responsibilities

• Assess, organize, arrange, and describe archival collections, manuscripts, photographs, and institutional records.
• Process materials from accessioning through description and final storage.
• Develop and maintain finding aids, inventories, catalog records, and metadata.
• Apply archival standards to ensure consistent organization and documentation.
• Evaluate preservation needs and appropriate storage conditions.
• Maintain records of contents, access restrictions, and preservation actions.
• Support digitization by preparing materials, verifying metadata, and organizing digital files.
• Maintain archival databases, CMS, and electronic records.
• Identify sensitive or restricted items and escalate concerns when needed.
• Coordinate with archivists, researchers, and stakeholders to support access.
• Assist with acquisition, accessioning, transfer, and management of new collections.
• Ensure materials are stored and processed per policies and guidelines.
• Review and update collection descriptions, inventories, and documentation.
• Support research requests by locating and preparing materials for access.
• Maintain confidentiality and follow requirements for restricted records.
• Assist with audits, preservation projects, and records management activities.
• Identify opportunities to improve workflows, metadata quality, and accessibility.
• Ensure projects and documentation are completed on time.
