Job summary

Charter Impact is seeking a Payroll Specialist to manage payroll for our nonprofit clients, including processing, tax withholdings, and benefits deductions. You will train client staff and ensure accurate, timely payroll submissions.

This remote‑first role supports clients nationwide, with occasional on-site payroll processing and trainings. Strong knowledge of multi-state payroll, ADP/UKG experience, and attention to detail are essential.

Qualifications

• Three years of payroll processing experience.
• Experience with quarterly payroll tax returns.
• Experience with third-party payroll databases: ADP, Paycor, Paycom, Paychex, UKG Ready Now.
• Knowledge of payroll and wage-and-hour laws.
• Strong MS Office skills (Word, Excel, Outlook) including advanced features.
• Ability to manage multi-state payroll processing.
• HR experience is a plus.
• Experience in the charter school, nonprofit, or education sector is a plus.

Responsibilities

• Communicate and train clients on payroll processes to ensure ongoing compliance.
• Enter pay information from clients each pay period and review reports for accuracy.
• Assist with final checks and related calculations.
• Prepare and submit retirement reporting and payments for 403(b)/401(k) plans.
• Reconcile payroll-related liability accounts before month-end closing.
• Create and distribute payroll calendars to clients.
• Send payroll due date reminders to clients.
• Update client payroll data (addresses, pay, W-4, deductions).
• Research STRS membership type for new hires.
• Run post-payroll backup reports and ad hoc client reports.
• Gather backup for audits and support year-end audit workpapers.
