Job summary

HireHawk Inc. is seeking a records specialist for a remote, full-time contractor role with a plaintiff personal injury firm in Los Angeles. You will request medical records and bills for multiple cases, follow up until complete, and ensure proper organization in the case management system.

The ideal candidate has experience with medical records requests, strong English communication, and the ability to manage many cases remotely within Pacific Time hours.

Qualifications

• Strong written and spoken English for calls and emails with medical providers.
• Highly organized and persistent, able to manage many requests across multiple cases.
• Comfortable using Microsoft Office or Google Workspace and a legal case management platform.

Responsibilities

• Request medical records, medical bills and related documents from providers.
• Follow up on outstanding requests until records arrive.
• Upload, label and organize documents in the firm’s case management software.
• Maintain a tracking log of pending requests and follow-ups for case managers.
• Flag documentation gaps and notify assigned case managers.
• Send and track HIPAA authorizations and other records release forms.
• Process incoming faxes and electronic records and route them to the correct file.
• Protect client confidentiality at all times.
