Cayuga Health in Ithaca, NY, is seeking a Health Information Management (HIM) Assistant. You will manage health information in the Epic EHR, scan and index documents, and ensure accuracy for clinicians.

This role emphasizes confidentiality, HIPAA compliance, and efficient file handling. You will collaborate with HIM staff and support administrative tasks to maintain organized patient records for high-quality care.

Qualifications

• High school diploma or equivalent; associate degree or certification in Health Information Management (HIM) preferred.
• Experience working with Epic EHR or other electronic health record systems is a plus.
• Strong attention to detail and ability to work independently.
• Familiarity with medical terminology and healthcare documentation practices.
• Knowledge of HIPAA regulations and patient confidentiality standards.
• Proficiency in Microsoft Office Suite (Excel, Word, etc.) and other relevant software.

Responsibilities

• Scan physical documents, forms, and medical records into the Epic EHR system.
• Ensure scanned documents are clear, legible, and properly indexed.
• Review documents for completeness and accuracy before uploading to patient records.
• Upload scanned documents to the correct patient record within Epic.
• Maintain and organize patient records by accurate filing and indexing.
• Verify the accuracy and completeness of uploaded documents.
• Ensure documents are linked to the correct patient record.
• Conduct periodic reviews to ensure regulatory compliance and policy adherence.
• Collaborate with HIM staff and healthcare providers to ensure timely processing of records.
• Respond to inquiries from medical staff regarding missing or misplaced documents.
• Adhere to HIPAA and maintain patient confidentiality at all times.
• Ensure the security of electronic and paper health records per policies.
• Assist with general administrative duties and HIM department support.
