Job summary

Kontak Recruitment seeks a Financial Planning Administrator for a fully remote role based in South Africa. You will work directly with the Founder on a daily basis, handling multi-jurisdictional data, client records, and compliance across Intelliflo and FE Analytics.

The position requires strong numerical ability and meticulous attention to detail, with data security at the forefront. Training will be provided, and there is clear potential to grow as the advisory book expands.

Qualifications

• Experience in a financial services environment in an administrative, operations, or finance function.
• Strong numerical ability and comfort working with spreadsheets and fund-related data.
• High attention to detail and the ability to review AI-generated content for accuracy.
• Reliable high-speed internet and a private home working setup.
• Willingness to be available during UK business hours for calls and reviews.
• A qualification in finance, accounting, or related field is advantageous.
• CFP designation or progress toward it is a bonus.

Responsibilities

• Log into the back-office system (Intelliflo) daily to review and action tasks.
• Maintain accurate client records including transactions and regulatory docs.
• Complete initial and ongoing training through Intelliflo and platform resources.
• Pull compliance docs from multiple investment platforms for reviews.
• Build and maintain onboarding files on Intelliflo end-to-end.
• Assist with trades, fund switches, contributions, and withdrawals on platforms.
• Pull and prepare reports from FE Analytics and other platforms.
• Liaise with UK providers, custodians, and third parties via phone and email.
• Support the Founder on video calls to align on priorities.
• Handle client data with strict confidentiality and discretion.
• Identify process improvements to scale the business.
• Assist with onboarding of additional team members as the team grows.
