Job summary

HeadQuarters is seeking a Cash Application Operations Associate to ensure accurate and timely processing of customer payments and AR tasks. You will apply payments, research discrepancies, assist with reconciliations, and support credit verification and required financial documentation.

This role collaborates with Collections, Sales, Accounting and other teams to resolve payment issues and maintain AR balances. Work hours are 9am–5pm PST, with remote flexibility in a collaborative environment.

Qualifications

• Experience in Accounts Receivable or cash application roles.
• Strong cash reconciliation and deduction handling.
• Proficiency with SAP, Oracle, NetSuite.
• Advanced Excel and data analysis skills.
• Clear communication and cross-functional collaboration.
• Detail-oriented with multitasking in high-volume environments.
• Experience with process improvements or automation is preferred.

Responsibilities

• Apply incoming customer payments accurately and on time.
• Review payment and remittance details to match payments to customer accounts and invoices.
• Research payment discrepancies, including unapplied or misapplied cash.
• Assist with short payments, overpayments, credits, and deductions.
• Maintain payment documentation, including ACH remittances and check support.
• Help reconcile customer accounts and payment activity.
• Work with Collections, Accounting, and other teams to resolve payment questions.
• Update internal systems with accurate payment information and notes.
• Support the preparation of basic Cash Application and unapplied cash reports.
• Follow established Cash Application procedures and internal controls.
• Communicate with internal teams or customers when additional remittance information is needed.
• Escalate complex payment issues as needed.
• Assist with completing required financial and compliance forms.
• Perform basic customer credit verification and review supporting documentation.
