Job summary

RMS Energy in Orlando, FL is seeking an Operations Specialist to provide business support and administrative functions within the Transformer division. You will support operational leaders across all commercial processes including final invoicing, quoting, orders, and purchasing.

The role requires 3+ years in service billing, strong organizational skills, and proficiency with CRM/ERP systems and MS Office; remote work with minimal travel is possible.

Qualifications

• Minimum 3 years' experience in service business billing or related function.
• Strong organizational and multitasking abilities.
• Comfortable working cross-functionally and managing multiple priorities.
• Proficient with Microsoft Outlook, Word, Excel, PowerPoint, and Teams.
• Proficient using CRM and ERP systems for customer relations and ERP.

Responsibilities

• Manage and update the division’s monthly activity log and backlog with accuracy.
• Support developing and maintaining business forecasts for strategic decision-making.
• Monitor revenue accrual and clearance processes to align with goals.
• Price Change Orders.
• Analyze and track labor and expenses to improve cost efficiencies.
• Oversee daily administrative operations for an efficient office environment.
• Ensure timely entry of daily and weekly timekeeping records.
• Retrieve and verify Purchase Orders from portals and customers.
• Generate fixed-price and time & material invoices.
• Invoice all tickets.
• Maintain confidentiality of sensitive commercial and financial data.
