Description: The Release of Information (ROI) Specialist I within the VitalChart department of VRC Companies, LLC ("VRC") is responsible for processing all assigned requests for medical records in a timely, efficient manner while ensuring accuracy and providing high-quality service to healthcare clients. This position must always safeguard and protect the patient's right to privacy by ensuring that only authorized individuals have access to the patient's medical information and that all requests comply with request authorization, VRC policies, healthcare facility policies, and federal/state statutes such as HIPAA.
Key Responsibilities / Essential Functions- Handle Release of Information requests, primarily Continuing Care and Disability Determination Services, with cross-training on other request types as deemed appropriate.
- Access and process requests and medical records following specific procedures and security protocols.
- Complete requests daily, prioritizing based on turnaround times and service agreements.
- Validate requests and authorizations for compliance with HIPAA and relevant laws.
- Classify request types correctly and log into ROI software.
- Retrieve and upload medical records from electronic or physical repositories.
- Perform Quality Control checks to ensure accuracy and prevent breaches of PHI.
- Check and adjust invoices as needed, then release records to authorized entities.
- Reject non-compliant requests and ensure physical records are returned to proper locations.
- Document all relevant information in ROI software, including exceptions and communications.
- Alert supervisors to any suspicious requests, breaches, or delays.
- Respond to requestor inquiries professionally and efficiently.
- Store records securely and maintain supplies and equipment.
- Assist with additional facilities or request types as needed, understanding that assignments may change.
- Adhere to all policies, procedures, and regulations, including HIPAA and labor laws.
- Maintain confidentiality and ethical standards.
- Report connectivity issues, equipment malfunctions, or security risks promptly.
- Complete required training on time and perform other duties as assigned.
Requirements- High School Diploma (GED) required; degree preferred.
- Experience with ROI fulfillment preferred.
- Attention to detail, organization, and ability to meet deadlines.
- Strong documentation, communication, and interpersonal skills.
- Ability to maintain productivity and quality performance.
- Basic knowledge of medical records and HIPAA preferred.
- Experience with EHR/EMR platforms, Windows, and Microsoft Office preferred.
- Familiarity with office equipment such as printers, scanners, and fax machines preferred.
- Detail-oriented, self-motivated, and focused.
- Proficient in English; bilingual skills are a plus.
