BASIC FUNCTION:

The Registrar maintains accurate, secure, and compliant student records as well as managing enrollment processes and supporting reporting requirements. The essential functions as shown below represent only the key areas of responsibility; specific position requirements will vary depending on the needs of the district.

ESSENTIAL FUNCTIONS:

  • Maintain accurate, complete, and confidential student records; prepare, process, and distribute official transcripts and cumulative files in accordance with district policy and legal requirements.
  • Enter, update, and audit student demographic, academic, and activity data to ensure accuracy for reporting, scheduling, and compliance purposes.
  • Prepare student records for long‑term retention, archiving, or destruction in accordance with district procedures, including historical record preparation
  • Maintain grade point averages, class rank, and academic records; verify data accuracy and prepare records for reporting, archiving, and long‑term storage.
  • Collaborate with counselors and administration to verify graduation eligibility; prepare diplomas, commencement materials, and final transcripts.
  • Serve as a point of contact for students, parents, staff, and external entities; respond to inquiries and provide information related to records, enrollment, and academic status.
  • Determine and monitor student eligibility (e.g., athletic participation, enrollment status, tuition students) in accordance with district and state guidelines.
  • Provide backup support to the main office, including phone coverage and general administrative duties; assist with document preparation such as certificates, insurance forms, and reports.
  • Other duties, as assigned.
