Job summary

Sweeny ISD - Sweeny Elementary School in Sweeny, Texas seeks an Administrative Assistant - 4 to maintain student records and process enrollments, transfers and withdrawals at the campus level under minimal supervision, reporting to the Principal.

Starting date is immediate. This 220-day position requires strong organizational and data-entry skills; 3+ years of secretarial experience in education is preferred. Pay range is $28,794 to $39,776 per year, PPT4, local funding.

Primary Purpose:


Responsible for maintaining student academic records at the campus level under minimal supervision. Process student enrollment, transfers, and withdrawals for the campus.


Qualifications:


Education/Certification:



  • High school diploma or GED


Special Knowledge/Skills:



  • Knowledge of school district organization, operations, and administrative policies

  • Ability to read and comprehend instructions, correspondence, and memos

  • Ability to make independent decisions regarding planning, organizing, and scheduling

  • Excellent public relations, organization, communication, and interpersonal skills

  • Ability to use software to develop spreadsheets, perform data analysis, and do word processing

  • Ability to multi-task numerous complex administrative activities

  • Strong computer and technology skills


Experience:



  • 3 years or more advanced secretarial experience, preferably in a public education environment

  • Knowledge of Special Education preferred


Major Responsibilities and Duties:

Records, Reports, and Correspondence



  • Maintain student academic records and process requests for information and transcripts. Process new student records, including requesting transcripts and records from other schools.

  • Coordinate grade reporting process, including verification and correction of grades and preparation and distribution of report cards.

  • Prepare and distribute University Scholastic League (UIL) eligibility lists.

  • Calculate grade point averages, class rank, and prepare honor rolls.

  • Assist counselors with the enrollment, withdrawals, and transfer of students.

  • Assist campus administration and counselors with the preparation of reports and student data information.

  • Compile, maintain, and file all reports, records and other documents as required.

  • Coordinate the ordering and distribution of all graduate materials, including caps and gowns and diplomas.

  • Maintain confidentiality of information.

  • Follow district safety protocols and emergency procedures.
