The opportunity
Capital Management Associates (“CMA”) is a growing registered investment adviser serving high-net-worth individuals, families, trusts, and businesses. We provide comprehensive financial planning and investment management alongside tax preparation, giving our team a more complete understanding of each client’s financial life.
We are seeking an experienced Registered Client Service Associate to support two advisors and serve as the operational anchor for a collaborative team of financial advisors. This person will work alongside the two advisors to take ownership of day-to-day client service and account administration, helping the advisory team deliver a responsive, accurate, and highly personal client experience.
This is an excellent opportunity for someone who views client service and wealth-management operations as a professional specialty. As the team grows, the successful candidate will have opportunities to expand their responsibilities, improve processes, and influence how the team serves its clients.
What you’ll do
- Serve as a primary point of contact for routine client service needs, providing timely, professional communication and dependable follow-through.
- Coordinate the onboarding of new clients, including opening accounts, preparing documentation, facilitating asset transfers, and resolving outstanding requirements.
- Process account maintenance requests, cash transfers, wires, ACH transactions, checks, distributions, and other money movements.
- Support client meetings by preparing reports and materials, identifying outstanding service items, and coordinating post-meeting follow-up.
- Maintain accurate client records, notes, tasks, and workflows in the firm’s CRM.
- Execute trades as directed and in accordance with firm procedures and applicable regulatory requirements.
- Assist with client billing and related operational processes.
- Work closely with advisors to organize priorities, anticipate client needs, and keep service commitments moving forward.
- Coordinate with custodians and other external partners to research and resolve account issues.
- Protect client confidentiality and follow the firm’s compliance and documentation standards.
- Identify opportunities to improve workflows, strengthen controls, and make the advisory team more efficient.
What we’re looking for
- At least three years of relevant experience in wealth management, financial services, investment operations, or a comparable client-service environment.
- Current Series 7 and Series 66 registrations are strongly preferred. Unregistered candidates with strong transferable experience may be considered but must obtain the required registrations within nine months of hire.
- Demonstrated experience managing account administration, client requests, and multiple time-sensitive workflows.
- Exceptional attention to detail, organizational ability, and follow-through.
- Strong written and verbal communication skills, with the judgment to communicate confidently and professionally with high-net-worth clients.
- A proactive, service-oriented mindset and the ability to anticipate what clients and advisors will need next.
- Comfort learning and working across CRM, custodial, trading, reporting, and document-management systems such as eMoney, Schwab, and Advyzon.
- Sound judgment, discretion, and a strong commitment to protecting confidential information.
- A collaborative approach and willingness to take ownership in a growing organization.
At CMA, employees have the opportunity to make a visible contribution. Our size allows team members at every level to collaborate directly with firm leaders, influence how we operate, and help shape our future.
High-performing employees stand out, good ideas are heard, and success is shared across the firm. For someone who takes pride in excellent execution and wants to build a long-term career in wealth-management operations, this role offers meaningful responsibility and room to grow.
